STORES CLERK
Role Purpose:
To support efficient inventory movement and storage operations by managing stock issuance, receiving, documentation, labeling, quality control, and dispatch. The Stores Clerk ensures accuracy, compliance with product handling standards, and timely coordination with Accounts and other departments for effective inventory flow and minimal stock losses
Job Description
Goods Receiving and Documentation
- Receive goods from suppliers, confirming accuracy against Local Purchase Orders (LPO), expiry dates, product integrity, and correct quantities.
- Create purchase receipts in the system with accurate store, quantity, and value details.
- Forward purchase receipts and associated delivery notes/invoices to Accounts Payable for timely processing.
- Raise Purchase Orders (POs) when required and maintain accurate records of all incoming goods.
Order Fulfillment and Dispatch
- Remove orders from the warehouse/store based on approved sales orders and packing lists.
- Package goods securely for dispatch and delivery.
- Issue goods for delivery and coordinate with delivery personnel.
- Assist in taking customer orders and supporting their dispatch when needed.
Inventory Control and Management
- Maintain and update stock records consistently, ensuring proper labeling and FIFO (First-In-First-Out) to minimize expiries.
- Conduct quality control checks on all stock, ensuring that expired, leaking, or damaged products are reported immediately.
- Participate in periodic stock takes and daily reconciliation with the system.
Cleanliness, Merchandising, and Organization
- Keep the store area and shelves clean, organized, and well-maintained.
- Merchandize shelves by placing products in their appropriate category and display positions.
- Monitor shelf life and rotate products appropriately to maintain optimal display and freshness.
Loading and Offloading
- Assist with loading and offloading goods, ensuring product integrity and correct placement in the warehouse or delivery vehicle.
- Verify delivered stock with documentation to ensure accuracy and integrity of inbound and outbound shipments.
- Record Keeping and Reporting
- Maintain up-to-date records for all inbound and outbound goods.
- Document daily movements, discrepancies, and stock levels for submission to the Inventory In-Charge.
Job Requirements
Qualifications and Experience
- Diploma in Procurement, Supply Chain, or Business Administration.
- Minimum 3-5 years of experience in inventory or store operations, preferably in Agrovet or Agro inputs and vet products distribution sector
- Stock management and quality assurance skills
- Basic accounting and ERP/inventory system proficiency
- Physical ability for lifting and organizing goods
- Attention to detail and record accuracy
- Professionalism in communication and customer handling
