Procurement & Logistics Assistant – Temporary

Reporting to the Procurement and Logistics Manager, The Procurement & Logistics Assistant is a strategic role in the supplychain for MSK. This role requires an astute and highly dependable individual who will oversee the entire supply chain, from orders placed by the Procurement Department and warehousing to delivering materials to centres, commercial sales and outreach teams. The Logistics locum will also be responsible forprocessingdistribution requests, maintaining inventory, coordinating transport, maintaining databases and accurate records, managing inventory risks, maintaining positive supplier relations, managing supplier performance, management and disposal of obsolete items.

Key Responsibilities
Coordinate and Track Shipments
• Once warehouse order requests or purchase orders are issued, it is up to Logistics Locum to manage the pulling and packing of materials and arrange appropriate transportation. Among the tasks that might need to be completed in this responsibility include freight consolidation, routing, and scheduling. LogisticLocum must also track shipments to ensure they arrive on time and that shipment and delivery processes adhere to any pertinent regulations and MSK policies.

Manage Warehouse
• The Logistics Officer is typically responsible for the storage of materials that are to be used by the field staff, commercial sales, marketing, and outreach teams. Warehouse management duties include maintaining inventory at both the central warehouse and Centers, ordering shipping materials, proactively informing management and field staff of any eminent risks such as stockouts and expiries, and managing the performance of the warehouse outsourced supplier and import/export clearing agents.

Analyse Supply Chain Systems
• The Logistics Officer must ensure that all aspects of a logistics team, such as shipping, import/export, warehousing, and procurement, are working together to fill orders and deliver materials on a timely basis. You will review all processes and systems and design and implement new plans and procedures as needed. You will also be responsible for creating and maintaining contingency plans.

Supplier Performance Management
• The Logistics Officer will manage the performance of the outsourced warehouse service provider and track their performance against contracted Key Performance Indicators (KPIs) and ensure that quarterly and monthly performance meetings are held in a timely manner and any actions agreed in those meetings are followed up to conclusion. The logistics officer will also be expected to track the performance of local medical suppliers (Quality and Timely Delivery) on a monthly basis and provide feedback to the procurement staff members for decisionmaking purposes.

Records Management
• The Logistics Officer will manage and maintain all the accurate records that appertain to stock movements which are not limited to but include stock cards, inventory stock levels both at central warehouse and centers, goods received notes, goods dispatch notes, and shall provide regular stock movement reports preferably monthly for both purchased goods and donations to be used for updating management and donors.

Qualifications:
Degree in Procurement and Logistics, Business Administration or a similar field preferred
Minimum of one year experience in a busy Procurement & Logistics set up.

Key Responsibilities/ Duties/ Tasks:
• Provide transportation for Head Office, other employees of Rafode Office and visitors. Facilitate airport pick-ups for visitors and transportation during official visits.
• Deliver and collect parcels.
• Distribute mail as needed, both incoming and outgoing.
• Deliver correspondence to government authorities and assist in processing various permits (such as airport pass etc.)
• Service vehicle maintenance management.
• Schedule annual vehicle examination for service vehicles with the Transport Department and apply for renewal of vehicle license.
• Determine when and what kind of maintenance the vehicle needs, keep track of general maintenance schedules, especially car tyre conditions.
• Ensure sound running of the vehicles assigned and arrange minor repairs where necessary.
• Notify management about any major repairs and maintenance.
• Check oil and tyres properly and keep vehicles in clean condition, both inside and outside.
• Ensuring the vehicles have sufficient petroleum and are always ready for use.
• Keep track of timely car insurance renewals.
• Update monthly mileage records.

Requirements

• At least have a KCSE certificate.
• Certificate in Vehicle Mechanics including Motor Vehicle Auto electrician
• Valid BCE driving license
• Experience in driving 4WD manual vehicles.
• Good communication skill, both written and verbal
• Excellent interpersonal relations skills and a team player.
• Good understanding of the road act
• Must have training in First aid and safety
• Defensive driving

Job Role Description
• To support the organization, realize its strategic intent on customer Service through effectively signing up new customers as well as servicing the signed-up ones with the LPG cylinders filled with gas

Roles And Responsibilities
• Responsible for signing up /enrolling new customers to use LPG gas and other accessories offered by the company in their houses, preferably in the kitchen area
• Verify customer identification by checking original documents. Call back on the telephone line to confirm the phone number.
• Satisfactorily take the customer through the contract ahead of installation
• Request the customer to re-arrange the house in readiness for the cooking solution taking ventilation into consideration
• Ensure the customer/user is present at the time of installation.
• Perform the task of signing up customers, installation, battery change, and cylinder change as well as any other task as may be assigned by the team leader from time to time.
• Responsible for giving honest feedback to operations on any consumer complaints.
• Responsible for the safekeeping of the support resources provided by the company to ensure smooth operations in the field (Phones, PPEs, and Merchandize)
• Responsible for effectively communicating to the customers on any information that will make the experience of the customer good.
• Responsible for managing the delivery process as stipulated by the organization and use of the required technology
• Plays a role in giving vital information to the organization around the competitor's activities
• Manages and maintains all the customer's accounts in each area.
• Responsible for taking care of the LPG gas Cylinders and the accessories on the vehicle (TUKs, Motor Bikes, Canters, etc.)

Qualifications And Skills Required
• Form 4 Certificate, Sales qualification, and at least 2 years working in sales and customer service role
• Experience working in Sales and Customer Acquisition and customer support
• Integrity, Honesty, Commitment to Company goals
• Individual initiative good communication skills on the telephone and in-person
• Friendly and helpful interpersonal style
• Ability to stay calm when customers are stressed or upset.
