Tasks and responsibilities
• Screens, prioritizes, dispatches and follows up on requests, calls and correspondence; has an overview of the delegation’s activities and takes into account its priorities and challenges when making decisions. Flags issues and delays; produces and updates timelines, schedules and other tools;
• When requested by the Management, participates in discussions, and follows up on the implementation of decisions and strategies. When needed, takes minutes of meetings, and follows up on the action points, produces and/or updates reports;
• Manages internal and external contacts by means of ICRC-supplied tools. Supervises the updating of other units’ contacts. Actively maintains and develops a network of contacts within the national authorities, security and armed forces, political opposition groups, civil societies and with any other influential stakeholders;
• Manages appointments and organizes meetings both with ICRC colleagues (briefings, periodic and ad hoc meetings) and with external interlocutors. Receives or supervises the reception of management’s visitors and helps to organize events at which protocol must be observed, including visits by donors and other major figures;
• Drafts formal and informal correspondence, procedures and directives in English for the signature of the Management; proofreads correspondence/reports/other documents and ensures optimum lay-out; if needed, translates documents from local language to English and/or liaises with translators;

Job Purpose:
Responsible for running and coordinating the day-to-day administrative duties and clerical support to the department.

Responsibilities:
• Assist in all administrative tasks related to Emergency Department.
• Maintain fee notes for all physicians on temporary basis in the department.
• Meeting organization: schedule meetings and appointments and ensure all support and logistics for meetings are provided before the start of the meetings. Attend meetings and take minutes; Follow up and closure of action items from meeting discussions.
• Ensure operation of all equipment in the department, by completing preventive maintenance requirements; calling for repairs and maintaining equipment inventories.

Key Roles & Responsibility
• Booking appointments for the Ambassador and Head of Development Cooperation
• Liaises with the Ambassador about events and meetings and making follow-ups
• Manages guest lists and maintains contacts with other Embassy
• Creating and Updating Diplomatic directory
• Support the Section’s travel logistics
• Provides support on protocol matters (such as note verbal’s and permits)
• Assists in translation of documents into Somalia language
• Monitoring Somali social media and news and alert Head of Mission to issues of interest to Embassy
• Acting as translator for the Somalia Section if and when needed
• Performs other admin tasks as may be required by the Section
The above tasks are performed in a team. The work requires close cooperation with all sections at the embassy, as well as with external parties. Applicant would need to be flexible in regards to working hours in order to accommodate Head of Mission varied schedule.

Duties and Responsibilities
• Analyze and understand bid conditions and management of the tender preparation to ensure timely submission with no technical omission.
• Set up, populate, update and publish a bid tracker to ensure the bid team is aware of the schedule
• Identification of tender opportunities in the newspaper, IFMIS System and any other source that are of interest to the company.
• Manage and together with the technical team, prepare tenders accurately within set deadlines.
• Collating tender documents and requirements.
• Make contribution to the business on the tender pricing.
