Position Overview
• The Rockefeller Foundation (RF) is seeking an Executive Assistant & Team Coordinator (EA) for the Africa Regional Office Team on a one-year renewable term role, based in Nairobi, Kenya.
• The EA will play a key role in the Foundation’s Africa Regional Office to advance and influence the agenda and execution of the Foundations strategy in the region. The EA will receive direct day-to-day supervision from and be accountable to the Vice President, Africa Regional Office and will support the entire Africa Regional Office team in an administrative capacity and support team operations and contribute to the success of the work. This position requires reliability, organization, the ability to anticipate the needs of the VP and the team, and above all, a desire to learn and grow. To be effective in this role, the candidate must be able to advance work independently, maintain confidentiality, and work across a complex organization with high-profile internal and external partners.

Principal Duties and Responsibilities
• Maintains calendar for VP and other directors, including identifying key deadlines /milestones in team plans and flag follow-up.
• Manages VP’s correspondence as delegated including drafting and responding to VP’s emails as appropriate.
• Anticipates organizational needs to ensure smooth team operations. Assisting in composing and preparing office correspondence related to team needs.

Key Responsibilities

Key Requirements
• A recognized professional qualification in Insurance (e.g. ACII, AIIK, etc.) with not less than 10 years Management experience in the Insurance Industry, at least 7 of which must be at senior Management level.
• Proficiency in the use of modern day technology based service delivery tools
• Must have their own book of business that would ‘follow’ him / her.
• Strong understanding of corporate finance and measures of performance

Job Purpose

The Administrative Officer will organize, and coordinate administration duties and office procedures and lead in creating and maintaining a pleasant work environment, and ensuring high levels of organizational effectiveness, communication and safety. The Administrative Officer will ensure that the administrative activities within the office run smoothly on a daily basis.

Key Responsibilities
• Ensuring that the office is kept clean at all times, office orderliness is maintained with a professional outlook
• Scheduling meetings and appointments within the office and ensure appropriate communication, prepare boardroom/meeting rooms for meetings; organize for beverages and lunch for meetings as requested by the conveners;
• Planning and coordinating the administrative functions both in-house or off-site activities, provide logistical support during workshops, events, conferences etc.
• Maintaining basic administrative asset tracker logs (i.e. kitchen items, security and vehicle equipment etc)
• Ensuring that the office meets fire, health and safety requirements;
• Ensuring safe staff working practises and customer safety procedures strictly followed by all.
