Job Description
The Operations Associate is responsible for providing timely and efficient support to the Alliance procurement and management of front office

Requirements
• University degree in Procurement/Logistics/Business Administration or related field
• At least three (3) years of relevant work experience in a closely related field gained in an international organization
• Good knowledge of rules, regulations and procedures of government and related agencies
• Strong proficiency of the English language, both written and spoken

JOB DETAILS:
Supply Chain Management
• Ensure effectiveness across the unit to attain cost effectiveness, efficiency, accountability, and timely supply of goods and services and value for money.
• Ensure appropriate practice in supplier pre-qualification, tender processes, and asset disposal.
• Source for quotations, compile Supplier Bid Analysis (SBA), and award successful suppliers. Seek relevant approvals where necessary.
• Prepare and send Purchase Orders to suppliers and get acknowledgement of receipt and confirmation on delivery dates. Coordinate cash purchases from supplier premises as required.
• Issue pre-qualification documents and prepare supplier register.
• Carry out procurement related filing (both manual and electronic).
• Follow up on sent waybills with the consignee in-country to ensure that deliveries are confirmed.

Administration and Facility Management
• Maintain a simple but effective administrative system for the regional office.
• Maintain oversight and ensure timely payments of invoices related to the office, administration and facilities management in Nairobi.
• Ensure compliance with the relevant registration procedures and our presence in the country.
• Responsible for the maintenance of facility leases and ensures that the leases remain valid and up to date.
• Responsible for the maintenance of leases and rental contracts.

Travel and Events Management

• Liaison/contact person for events management requests coming from the region, country offices and the wider organization.
• Maintain oversight of efficient and cost-effective local travel and transport related activities (taxis and rental vehicles) for staff locally and visitors from abroad.
• Flight bookings & management: ensure that bookings are made on the most competitive fares.
• Coordinate local staff movement. i.e. organize pick up and drop off for staff who arrive and depart from other countries.

Asset management
• Responsible for equipment movement and ensures that proper records are maintained.

Qualifications and Experience
Essential:

• Professional qualification in commercial purchasing–supply standards, such as Chartered Institute of Purchasing & Supply (CIPS) or equivalent
• At least 1 - 2 years professional experience in a similar role
• Strong organizational and administrative experience
• IT literacy in Microsoft Office (Word, Excel, Outlook)

Desirable:
• Degree in Supply Chain Management or Logistics or equivalent
• Experience working in an International NGO

JOB DETAILS:
Regional Manager Cargo

What your day would be like
• Build and maintain pro-active relationships with customers and key personnel in member airlines and other industry stakeholders, including airport authorities, regulators, suppliers, and service providers in the region, as well as with non-member airlines in the passenger value chain.
• Promote IATA’s policies, positions, objectives, activities, initiatives, services and products in the air cargo theme amongst airlines, governments, regional organizations and other industry stakeholders.
• Perform representative duties in internal and external workshops, seminars, and events aiming to develop and promote IATA cargo standards and initiatives targeting key regional industry stake holders and public opinion.
• Support the development of the regional cargo work plan, and lead the delivery of the cargo regional strategies and priorities based on the global guidelines, the regional needs, and account plans.
• Work on removing regulatory barriers before IATA cargo experience initiatives allowing the use of technology, digitization, on-line, and self-service solutions.
• Provide technical support and assistance to the members and stakeholders across the cargo supply chain, promoting standards, best practices, and advanced solutions.
• Support cargo solutions innovation through focusing on to customer needs, and support pilot initiatives in the region.
• Work closely with Field Offices, The Regional Office, and other IATA Divisions on all cross-functional areas coordinating projects delivery and information sharing.
• Support achieving IATA revenue generating targets through promotion of IATA solutions
• Collaborate with and support the Cluster Project Team in an agile way;
• Partner with regional Subject Matter Experts to ensure a constant upskilling and regional capacity building;
• Provide timely reports to the Cluster Project Leaders regarding progress of work of the set objectives
• Maintain a proactive relationship with Subject Matter Experts at Headquarter level where applicable and benefit from expert guidance;
• Support fostering a culture of inclusion, integrity, team spirit, strategic thinking, partnering, innovative pioneering and acting with a human touch

• Bachelor's Degree in Business Administration, Engineering or any other relevant discipline;
• Minimum of 8 years of professional experience in a similar role with at least 5 years working in a similar role in aviation security, cargo, passenger and/or airport operations
• Experience in networking with and influencing stakeholders, governments and other institutions on aviation as well as economic matters
• Experience in successful public speaking engagements, in making effective presentations to varying audiences and in preparing reports based on technical merits and facts
• Working knowledge of ICAO standards and recommended practices, best practices and other
• procedures in civil aviation operations;
• Advanced Proficiency in MS Office
