Job Purpose
Open Society-Africa is seeking a fixed-term Program Operations Associate (POA), based in multiple geographies to support the closeout of over a thousand organizational and individual grants as part of the Re-Assigned Grants Unit (RGU) during an eighteen-month assignment. Location is flexible, with preference for a Program Operations Associate to be based within the Africa region.
The POA roles are of deep importance to the success of the RGU and we are seeking the “grantmaking wizards” who are able to anticipate challenges, work with colleagues in support units to develop solutions, and help keep work moving forward efficiently and effectively. The ideal candidate will bring experience working on grants to organizations and individuals across a variety of geographies and issue contexts, a sense of challenge and pride in the essential operational aspects of grantmaking, and a positive and problem-solving approach to the work.

About The Role
You will:

• Schedule meetings for the School Principal in line with their diary
• Facilitate the public relations function of the front office
• Prepare documents ahead of internal and external meetings as directed by the School Principal (photocopying, binding, filing etc.)
• Prepare documents for internal display on pin-boards or notice boards (brochures, posters, etc.)
• Keep custody of the students’ attendance registers and any confidential documents on behalf of the School Principal
• Maintain the school’s student roster (termly) and update it as necessary
• Maintain The Principal’s Google calendar, scheduling meetings, calls, virtual/teleconferences, and attend to meeting logistics so that meetings are started on time with full participation
• Communicate with internal and external stakeholders via telephone, in person and in writing through the drafting of letters, memorandums, reports, and emails
• Coordinate travel and accommodation for the School Principal
• Handle invoices and transportation requests for the School Principal
• Facilitate logistical arrangements for weekly, monthly and quarterly meetings
• Provide administrative services and take minutes for various meetings when required
• Receive guests and/or visitors for the Principal as well as any other visitors in the network office

About The Role
Key responsibilities for the role include:

The Deputy School Principal, with the support of the School Principal and the Director of Schools, shall have responsibility for the following key areas:

Vision and Leadership
• Managing the execution of the daily operations of the school, and supporting all members of the community in meeting the mission, vision and instructional model of Nova Pioneer in partnership with the School Principal.
• Crafting, articulate and executing on a compelling short- and long-term vision for the development of the school’s culture and program in partnership with the absence of the School Principal.
• Establish and maintain an extremely strong and vibrant school culture consistent with Nova’s core culture principles in partnership with the School Principal.
• Build and consistently grow an exceptional culture throughout the school so that students and staff love arriving in the morning and feel constantly challenged and engaged in partnership with the School Principal.
• Build strong relationships with the parents of all students in the school and managing all issues and concerns they may raise in partnership with the School Principal.
