Duties And Responsibilities:
• Prepare Campus management board reports for decision-making within the campus;
• Ensure excellent customer care experience and develop mechanisms to ensure excellent service delivery to clients
• Ensure that the facilities at the Campus are adequate and in good working order to effectively support the student learning objectives.
• Coordinate general office administration including customer care, cleaning, housekeeping and messengerial duties
• Coordinate security services in the Campus in consultation with the Director.
• Ensure adequate supply of cleaning materials, communication and telephone services
• Ensure that catering is effectively and efficiently provided
• Identify and recommend short and long-term needs related to infrastructure maintenance;
• Facilities management – space allocation, furniture allocation and furniture arrangement
• Prepare facilities for campus meetings and related administrative tasks
• Participates in safety and surveillance rounds with Buildings, Grounds and Safety Departments.

Qualifications And Experience
• Masters Degree will be an added advantage
• 3 years’ experience in Office Administration/Marketing/Customer Care or related roles.

Job Summary
The Aga Khan University is looking to hire an Administrative Assistant who will provide efficient support services to the Chair and the Program Director in the Department of Pediatrics and Child Health. The job holder will work closely with the program Director to ensure smooth running of the Pediatrics Residency program in line with the ACGME accreditations standards.

Responsibilities
• Provide academic support for the Paediatrics Residency Program on behalf of the Program Director
• Coordinate selection interviews for the residency program
• In close consultation with Program Director and Chief Resident, prepare teaching and rotation schedules and ensure both schedules are disseminated to faculty and students.
• Ensure examination preparations are completed on time. Administer Continuous Assessment Test in liaison with the Program Director
• . Ensure the annually updated residency training manual is provided to the academic office in a timely manner
• Prepare attendance sheets for resident modules, send calendar invites of the modules, issue evaluation forms to residents presenting, and ensure the venue is booked and timetables are available.
• Provide administrative support to the department of Pediatrics and Child Health as required

KEY ACCOUNTABILITIES (not all-inclusive)
The Regional Bureau is seeking a business support assistant to support the partnership and innovation team with the following tasks. The candidate, reporting to the Head of Partnership, is expected to:
• Process and manage routine administrative and financial tasks for the team to contribute to the effective and timely management of resources.
• Serve as procurement and budget management focal point for the team.
• Provide support to travel management of team members.
• Provide operational support to run the innovation programme events (bootcamp, pitch events, etc.).
• Serve as HR, work planning and knowledge management focal point for the team.
• Maintain relationships with a range of individuals through provision of business support to assist in information sharing and service delivery to staff.
• Contribute to improvement of business procedures and processes.
• Collect and perform basic analyses of data to contribute to quality business information management.

STANDARD MINIMUM QUALIFICATIONS
Education: A minimum of post-secondary Certificate/Diploma in Business, Communications, Marketing or International Development. A Bachelor's degree in any of the above fields is desirable.
