Overview

The Project Management System Assistant will support oversight, monitoring and managing CIFOR-ICRAF’s Project Management System (PMS). This will require some initiative and judgment as well as an understanding of the link between the system and project management procedures.

Summary of responsibilities

• Ensure the Project Management System in myTREE works well

• Seamless link between Unit 4 Business World (Agresso) and myTREE without issues.
• Addressing issues quickly as soon as identified.
• Seamless link between PMS portal and the Resource Mobilization (RM) portal in myTREE.
• Seamless link between PMS portal and Finance Module on Agresso.
• Seamless link between the PMS and the public website of CIFOR-ICRAF where applicable.

Requirements

• Bachelor’s degree in Business Administration, Social Sciences or a relevant field is required (Master’s degree preferable).
• Minimum 3 years of relevant experience in project administration and systems management, with a good understanding of workflow procedures.
• Excellent written and spoken English.
• Strong computer skills in word processing, database and other relevant office applications. Personal attributes and competencies:

• Competent in organization and priority setting, with the ability to work effectively under time pressure and manage multiple priorities.

Job Objectives:
• Support the Bid & Proposal Coordinator in tracking global procurement portals, social media channels, and policy fora and then completing an initial filter of potential opportunities using defined guidelines and tracking these potential opportunities on pre-existing channels and sharing with key stakeholders for review and approval.
• Support the Bid & Proposal Coordinator in tracking client updates for existing opportunities and share these with the relevant bid team / stakeholders.
• Provide efficient and effective administrative support to the Business Development team i.e., booking venues, induction plan for new Business Development employees etc.
• Support the research, collation of information and sourcing of data and information relating to new opportunities.
• Format documents for the Business Development Team according to the Education Development Trust brand guidelines i.e., client presentations, bid diagrams, technical proposals etc.
• Support the Bid & Proposal Coordinator on the management of internal and external consultants and invoices, including but not limited to:
1. Raising contracts for external consultants based on Terms of Reference set by the Bid Technical Lead
2. Managing the payments, timesheet approvals and invoicing of internal and external consultants
3. Raising Purchase Order requests for supply of services and managing payments
4. Maintaining the Business Development Consultant management / invoice tracker

Job Purpose:
To assist in the smooth running of the Premium Relationships, Conversion and collection function so as to achieve:
• Optimum Business Relations.
• Optimum Check Off Revenues.
• Optimum Check Off Business Compliance.
• Optimum Channel Growth.

Key responsibilities:
• Build and maintain effective relationships with staff at the Check-off Institutions that are responsible for: Effecting and terminating (or stopping) payroll deductions, Processing monthly batch payroll deductions and Disbursement of Remittances to Britam and other institutions.
• On boarding and ensure continuing compliance of Check-off Institutions i.e. Signing-up institutions, carryout all the compliance assessments and approvals and finally formalize the arrangement with an MoU or a Contract.
• Launching of policyholder (or customer) payroll deductions at the Check-Off Institution for both new and existing business on a timely basis i.e., within the documented and approved cut-off dates.
• Stop (or Terminate) policyholder (or customer) payroll deductions at the Check-Off Institution for terminated policies/accounts on a timely basis i.e., within the documented and approved cut-off dates. E.g.. for maturities and Surrenders with respect to individual life policies.
• Monthly revenue collection on a timely basis as per the signed-off and approved timelines with the Check-off Institutions.
• Work with various internal stakeholders within Retail Operations to ensure timely receipting and allocation of funds received from Check-off Institutions.
• Resolve various reconciliation issues emerging between the Check-Off Institutions and Britam on a timely basis.
• Support the growth of the Check-Off Market in their respective Region through the provision of relevant market intelligence to Branch Managers for their execution e.g., the appropriate time and place to have open days for FA’s to show-case and sell products.
• Prepare monthly reports for the consumption and use by the respective Regional and Branch Managers in their assigned Check-off Regions.
• Any other duties as would be assigned.
