The Role
• The Accountant will support implementation of accounting and financial management functions for the COSME project to ensure compliance with Plan policies, procedures and donor requirements. The position holder will provide supports in the development, implementation and monitoring of the project.

Accountabilities And Main Work Activities
Financial Accounting and Treasury management (40%)
• Review all transactions to ensure that they are accurate and comply with Plan policies, procedures and Donor requirements.
• Post all approved transactions in corporate ERP system
• Preparation of funds transfer for supplies payments.
• Prepare timely and accurate cash forecasts at the Program Unit level.
• Process project advances and approved liquidations in ERP.
• Prepare and process Mpesa payments to business partners/beneficiaries timely and subsequent posting replenishment and reconciliation of Mpesa transactions in SAP.

Budgeting and Planning (15%)
• Participate in the preparation of Project operations budget, and support project staff to prepare projects annual budget.
• Participate and support during proposal writing for grants projects.
• Participate during project budget modifications.

Financial Reporting and Period-End processes (35%)
• Prepare bank reconciliations and perform petty cash count for the program units on monthly basis.
• Prepare Mpesa reconciliations for the program units on a monthly basis.
• Reconcile balance sheets accounts (advances, accruals, prepayments, deposits) and resolve reconciling items on a monthly basis.
• Participate actively in the month and year end processes and preparation of monthly, quarterly and annual finance schedules and reports for each program unit.
• Prepare and reconcile monthly PAYE, VAT and Withholding tax schedules for payment.
• Process adjustment journals for accruals, corrections, prepayments and redistribute support costs to the COSME projects.

Safeguarding Children and Young People (Safeguarding) and Gender Equality and Inclusion (GEI) 5%
• Understands and puts into practice the responsibilities under Safeguarding and GEI policies and Plan International’s Code of Conduct (CoC), ensuring that concerns are reported and managed in accordance with the appropriate procedures.
• Leads the orientation of programme staff to ensure that they are properly inducted on and understands their role in upholding Plan International’s safeguarding and GEI policies;
• Ensures that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in project design, during implementation and as principles applied in day-to-day work of Programme team;
• Ensures that Plan Kenya contributes to Plan International’s global efforts to ensure safeguarding and GEI, including making sure that relevant reporting and data are submitted.

Others 5%
• Participate in project management meetings
• Maintain and manage all Project financial documents to safeguard financial records and audit trails.
• Support audits by ensuring sampled documents are availed to auditors.
• Any other duty as assigned by the supervisor

Qualifications/ experience essential:
• Bachelor’s Degree in Finance/Accounting related courses.
• CPA (K) or other professional qualification in accounting
• 4 years relevant accounting experience and preferably in an INGO of which 2 years should be in a similar position.
• Knowledge of finance processes, systems and principles.
• Experience in computerised accounting applications.

Job Purpose and Key responsibilities
Key responsibilities:

• Perform monthly reconciliations for all debtor balances between the Line of Business systems and ERP.
• Prepare an aging analysis as part of the credit control report to intermediaries.
• Collect all outstanding debt from intermediaries and/or customers within the credit control policy.
• Circulate debtor statements to intermediaries and engage with the Sales team on collection pipelines.
• Prepare demand letters for issuance to intermediaries and/or clients.
• Perform regular visits to intermediaries and clients for statement reconciliation and collection of outstanding premiums.
• Allocate all premiums received within 2 days from date of receipt.
• Advise underwriters to debit or intermediaries to share allocation schedules and engage with cashiers for prompt receipting.
• Generate accurate intermediary statements. Analyze and reconcile all intermediary statements and circulate on a monthly basis to all stakeholders to facilitate collection.
• Create and post commission payment vouchers in Line of Business systems and allocate to the respective intermediary statements.
• Ensure timely resolution of all intermediary queries. Manage an issues tracker, updated daily with all issues raised.
• Timely processing and payment of commissions, premium refunds, Risk management fees, Loyalty and intermediaries’ incentives.
• Any other duties that may be assigned by management.

Knowledge, experience and qualifications required:

• Bachelor's degree in a business-related field.
• CPA part1 or other similarly recognized accounting profession qualification.
• 1 years of accounting experience in a similar role.
• Knowledge of ERP AP system and/or experience of using Oracle Financials would be an advantage.

JOB SUMMARY
The overall objective of this role is to follow up on non-performing loan accounts and implement a recovery action plan to achieve timely and maximum loan recovery.

KEY RESPONSIBILITIES
Reporting to Team Leader, Debt Recovery Officer will:
• Monitor allocated portfolio of delinquent loans facilities and determine appropriate collections strategy within pre-determined policies, guidelines and regulation.
• Perform various duties on assigned accounts such as recording, verification and validation of customer’s details as received from clients.
• Advise customer on ways of clearing their debts while communicating with them on the importance of paying their debts and consequences of non-payment.
• Resolve and mediate disputes between customers and principals/clients.
• Locate and notify customers on defaulted loan accounts by mail, telephone, or scheduled visits in order to recover payments.
• Prepare approval requests for negotiated settlements and follow up until account is fully settled and the balance paid off.
• Maintain and prepare monthly collections reports, updates and status.
• Initiate demand and reminder letters to all defaulting customers and review all credit accounts for proper documentation and monitoring.
• Initiate the clearance process on cleared debts once you receive payment proof and have the same shared to relevant clients.
• Provide customers with their correct account details e.g. loan balance and account numbers.
• Maintaining data integrity and keep customer details confidential.
• Responding to all customer correspondences via e-mail, telephone and postal mail.

REQUIRED QUALIFICATIONS AND EXPERIENCE
• Possession of a Diploma in any field from a recognized institution with at least 1-2 years’ experience in Debt Collection/Credit or Sales and Marketing.
• Diploma in either Banking/Credit management background will have an added advantage.
• Demonstrate a clear understanding of recovery processes with sound understanding of debt recovery process and techniques.
• Should have strong analytical power, good problem-solving skills and ability to work under immense pressure.
• Must have ability to translate and apply Credit knowledge to improve positive results in negotiations with clients.
• Excellent written and communication skills and the ability to communicate effectively to individuals and groups of people.
