The job holder is responsible for management of the Sacco's records.

Duties and Responsibilities
• Promote, Implement, maintain monitor and advise on the management of Sacco records in accordance with the relevant policies and procedures and the Data protection Act 2019
• Keep the Records Management Policies and Standard Operating Procedures up-to-date and relevant to the needs and obligations of the Sacco Assess, collect, classify, organize, preserve and maintain control over and provide efficient access to records and archives
• Implement a records retention, disposal, and information preservation system that complies with the Data Protection Act, Sacco policy and regulations.
• Implement Electronic Document management System,
• Maintaining file privacy and security access levels for all documents as per the confidentiality levels of documents/files
• Design, implement and maintain records systems and their operations; and, Training staff in the area of records management and record management systems.
• Keeping abreast with developments in the field of Records Management and advise accordingly
• Any other duty as may be assigned

Requirements
• Diploma in Information Science. A degree is an added advantage
• 5 years' experience of which more than 2 must have been in bank or Sacco

The role
The successful jobholder will be expected to:

• Lead and manage the implementation of projects within a portfolio of competing projects and limited time and resources.
• Develop processes and procedures to support the achievement of the project objectives.
• Follow a defined, agreed-upon project management methodology for Planning, Defining, Execution, Monitoring and Control, and reporting activities within the project lifecycle.
• Prepare project initiation and governing documents like, Project Charter and Project Management Plans
• Determine the organizational structure of the project team and assemble a cross-functional project staff for their technical or functional contribution to the project.
• Identify key stakeholders to the project and their roles and value while coordinating activities across different internal and external functions
• Assign work to team members in collaboration with the work stream owner and ensuring the team remains motivated to deliver.
• Manage project budget and resource allocation as well as constantly checking on project progress toward meeting its objectives, determining the cause of deviations from the plan if any and take corrective actions to address deviations.
• Facilitate the definition of scope; service levels and user requirements in addition to coordinating partners, vendors and consultants engaged in the project work.
• Organize and ensure proper and adequate testing phases within projects.
• Provide regular reporting and presentation of project status, progress, risks and issues to all stakeholders.
• Convene regular Project Steering Committee meetings that include, Executive Sponsor and other stakeholders

The job is responsible for managing the Core Banking & Channels Support unit in Information Technology which covers the business operations & management system, office automation system, network infrastructure, and telecommunication facilities. Effective capacity planning, maintenance and operations management to ensure optimum uptime and business continuity are critical. The job includes disaster recover planning and management also for the purposes of business continuity.

• To be responsible for the operational, strategic planning and provision of resource for the delivery of projects and support across the organization.
• Executes a governance process to provide corporate executive leadership with visibility into program performance and decision-making ability
