Reporting to the Legal Officer, in Legal, Regulatory Affairs & Company Secretary Division, the Legal Assistant, will be responsible for handling court processes and records management on legal matters concerning the Company.

The key tasks & duties for the position are;
• Receiving and undertaking service of court process.
• Opening court files, maintaining records, printing, photocopying and scanning documents, closing files recommended for closure.
• Filing Company pleadings at the respective court registries.
• Fixing court dates and updating the court and bring-up diaries.
• Undertaking safe custody and retrieval of court files.
• Handling correspondence, acknowledgement of receipt of service of the court process on behalf of the Company.
• Conducting official searches at the lands registry, Companies registry, motor vehicles registry and government printers and attending court registries to peruse court files.
• Registering and collecting legal documents at the relevant registries.
• Preparing and dispatching notices, hearings, mentions and drafting decrees and orders for filing and service.
• Updating legal statutes as required.
• Establish and maintain the Company’s filing system to support the company’s record keeping needs and keep the filing system up to date at all times.
• Undertaking research when called upon.

Appointment Specification
• Diploma in Law from a recognized Institution.
• Possess a current Court Process Server Certificate.
• Three (3) years’ work experience in a busy and reputable law firm.
• Diploma in Information Technology or Records Management will be an added advantage.
• Proficiency in computer applications

Duties & Responsibilities:
• Ability to prepare security documents and ensure they are properly executed and properly registered
• Provide legal opinion, advice on commercial and corporate transactions and matters relating to property & real estate.
• Carrying out the negotiation, drafting and review of commercial contracts, legal documents and ensuring they are duly executed
• Offer advice to clients on the legal processes involved in purchasing & selling of property.
• Carrying out the negotiation, drafting and review of commercial contracts and ensuring they are duly executed
• Conduct due diligence on conveyancing transactions, prepare sale agreements, completion documents and ensure proper registration of documents
• Work to protect the interest of clients, researching information and communicating with clients.
• Conduct research to identify legal ownership of properties by assessing government land registry documents or title deeds if the land is not registered to anyone.
• Prepare property lease agreements & ensure contracts are signed on the scheduled date of transfer.
• Oversee the fast-tracking & diligent handling of all client matters before the Lands Registry, Local Authorities, Survey of Kenya & National Lands Commission.
• Liaising with clients and key stakeholders such as the mortgage lenders, estate agents, land valuers and surveyors.
• Sending terms of engagement and estimates of fees and disbursements.
• Assist with due diligence and other intellectual property issues related to contracts, agreements and other transactional matters
• Processing of stamp duty payments and registration of documents at various registries.
• Procure clearance certificates and consents.
• Liaison at the Land Registry and Government departments.
• Drafting conveyancing document and other legal documents.
• Develop positive relationship with clients and meet clients expectations.

Qualifications & Requirements
• Two (2) years Post admission experience in a busy law firm with particular emphasis on Conveyancing and Banking Securities and Commercial Law.
• An upper 2nd Bachelors of Laws (LLB) degree from a recognized university.
• Advocate of the High Court.

Responsibilities
• Perform fraud and misconduct investigations with focus on cases relating to the One Acre Fund dukas
• Gather evidence, conduct interviews, and preparation of interview notes
• Support Senior Investigators and the Investigations Senior Specialist on cases
• Prepare reports of investigation findings
• Conduct recovery of fraud losses
• Assist with police reporting and follow up
• Work with the team to minimize fraud exposure through proactive risk assessments
• Any other duties allocated by the supervisor

Experience
