Responsibilities
HR Administration & Compliance

• Maintaining and refining internal HR and operational processes to support various workflows and processes in the region.
• Support HR administration and compliance in cooperation with the global HR team
• Support benefits administration for hub and regional staff
• Assist with recruitment and onboarding processes, including arranging interviews, communicating with candidates, gathering HR documentation, and new hire training
• Oversee monthly time tracking across the organization and act as the contact person for time tracking inquiries
• Maintain staff files and information in HOT’s HRIS (BambooHR); ensure that staff job details, documents, time off, and benefits information are kept up to date on a consistent basis
• Follow up on staff contracts information registration and compliance ( renewals, transitions, promotions, terminations)
• Analyze staff data trends through Bamboo reports and other data sources (esp. Inclusion & Equity initiatives)

General Hub Operations
• Assist internal communications efforts, including meeting planning and scheduling, compilation and delivery of monthly communications, and more
• Support staff travel management & bookings for conferences, staff meetings, events, etc.
• Join working group for planning and running of annual international HOT Summit & other events, as necessary
• Research and advise on new systems and processes for the People Operations team & the organization
• Support analysis and development of processes for Operations, including the set-up of new regional office
• Support the staff development & training function at the organization

Leadership team support
• Supporting the Regional Director when needed to ensure organization goals are accomplished and operations run efficiently and
• Manage email and correspondence on behalf of regional director, triage incoming email
• Prepare meeting outlines, formal agendas and document meeting notes during staff meetings and/or external partners
• Schedule/Calendar Management
• Assist in creating high-level presentations and any other documentation required. This includes but is not limited to board presentations, budgets and forecasts, white papers, complex schedules and events, and expense documents.

Qualifications
• 2 - 4 years HR/Admin/Ops experience in non-governmental organizations and international systems.
• Experience managing or maintaining a Human Resources Information System or Applicant Tracking System
• Interest to follow up on multiple, simultaneous and diverse tasks
• Demonstrated experience in managing projects or providing administrative or operational support within the office of a senior executive
• Track record of working in diverse, international, and virtual office environments
• Fluency in virtual collaboration tools like Google Workspace (Docs, Sheets, Slides), Slack, Salesforce, Loomio
• Outstanding English language written and verbal communication skills
• Ultra-organized and have demonstrated experience with improving your workplace’s organization in a complex, international environment: everything from files to project management
• Strong time management skills and able to track and stay on top of own multiple competing priorities as well as the leadership team’s priorities
• Comfortable working independently, yet staying in close contact with other colleagues in HOT and “managing up” to help ensure awareness of deadlines
• Has the drive to grow their career specifically within a rapidly evolving humanitarian and development NGO, and cares deeply about the mission

KEY RESPONSIBILITIES:
HR Support Services

• Responsible for issuing employment contracts, renewal, and termination of employee contracts for employees while ensuring legal compliance
• Responsible for Providing basic counseling to staff who have performance related obstacles
• Responsible for implementing relevant standard Operating Procedures for the HR Operations
• Responsible for developing/guiding staff induction and orientations
• Ensure all employees have copies of the following documents before on boarding; PIN, NSSF, NHIF, ID, Passport Photo/ HELB repayment details/ Account number/ Telephone numbers/ Duly filled personal details form
• Ensure full compliance in relation to health and safety including PPE use, soft training skills on health and safety as well as 100% implementation of the accident reporting policy.
• Responsible for PPE inventory management.
• Responsible for keeping an updated inventory of operations tools including but not limited to phones, computers while effectively managing insurance and claims
• Responsible for managing timely payroll processing.
• Timely resolving of all payroll related issues.
• Responsible for maintaining staff discipline/ conflict resolution to ensure high performance levels.
• Responsible for managing leave of absence for employees while ensuring adequate and timely replacement cover is provided to ensure zero interruptions operations.
• Responsible for ensuring that all payroll in-puts are submitted as per company policy every month in liaison with your supervisor and the accountant in charge
• Responsible for ensuring that correct employee details are harvested and uploaded into the IHRS system for payroll processing and statutory remittance.
• Maintain a master roll for all temporary employees detailing monthly salaries and statutory deductions as required by law.

MINIMUM REQUIREMENTS:
• Level/ KCSE minimum grade of C Plus
• Diploma in Human Resource Management or CHRP
• A minimum of one to two year’s hands on experience in HR
• In depth understanding of Kenyan Labor laws
• Excellent communication, interpersonal, and problem-solving skills.
• Confident orator, strong work ethics, reliability, and integrity.

Job Description
The roles and responsibilities for this position will entail the following:
• Assist with daily attendance of construction/factory staff.
• Assisting with the compilation of staff recruitment in alignment with payroll register
• Assist as required that all the new staff are holding valid medical reports
• Assisting with staff welfare and issues as requested
• Assist with monitoring/enforcement of wearing of appropriate PPEs and reporting of non-compliance
• Preparing a weekly schedule of staff terminations and reasons for termination
• Assist with distribution of Employment contract
• Reporting to supervisor on terminations that are not aligned to Labor Laws
• Responding to incidents and accidents at site through facilitating hospital logistics, reporting to
• Supervisors and coordinating with client where necessary
• Taking initiative to remain abreast of WIBA, safety codes and the employment regulations.
• Ability understand payroll process including keeping abreast of staff wages and ability to understand payroll reports
• Ensure and maintain proper staff records at all times.
• Flexibility to travel to the field at short notice
• Maintaining good relationship with health facilities and hospitals
• Monitoring health facility hospital account and liaise with Finance to ensure payments are made in good time

Requirement and Qualifications
• Diploma in Human Resources and Higher Diploma in any business-related studies.
• 3 years working experience in a supervisory level.
• 3 years experience working in a factory set up.
• The candidate must have the ability to apply data to formulas in excel and computer graphics.
• Computer knowledge as most plants use computerized equipment.
