  • To provide efficient administrative and clerical support to ensure smooth day-to-day operations within the organization. The Admin Officer is responsible for maintaining office systems, coordinating logistics, managing records, and supporting departments in achieving operational effectiveness.

Job Description

Key Responsibilities:

  • Office Management:
  • Ensure the office environment is well maintained, organized, and fully equipped.
  • Manage office supplies, stationery, and inventory; raise purchase requests as needed.
  • Oversee cleaning, security, and general upkeep of the office premises.
  • Documentation & Records Management:
  • Maintain both physical and digital filing systems for easy retrieval and reference.
  • Handle incoming and outgoing correspondence including letters, emails, and deliveries.
  • Support document preparation, printing, binding, and scanning.
  • Travel & Logistics Coordination:
  • Arrange local travel, accommodation, and meeting logistics for staff and visitors.
  • Manage vehicle bookings and fuel usage records (where applicable).
  • Track and renew office licenses, subscriptions, and contracts.
  • Administrative Support to Teams:
  • Provide clerical and operational support to departments such as HR, Finance, and Operations.
  • Assist with scheduling meetings, preparing agendas, and taking minutes when required.
  • Follow up on assigned tasks and maintain logs of administrative activities.
  • Vendor & Service Provider Liaison:
  • Coordinate with office vendors for utilities, supplies, repairs, and service maintenance.
  • Ensure timely payments and delivery of services.
  • Compliance & Reporting:
  • Ensure adherence to organizational administrative policies and procedures.
  • Generate regular reports on office operations, usage of resources, and logistics activities.

Job Requirements

Qualifications & Experience:

  • Diploma or Degree in Business Administration, Office Management, or a related field.
  • Minimum 2–3 years’ experience in administrative support or office coordination.
  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
  • Familiarity with basic procurement and logistics processes is an added advantage.
