- To provide efficient administrative and clerical support to ensure smooth day-to-day operations within the organization. The Admin Officer is responsible for maintaining office systems, coordinating logistics, managing records, and supporting departments in achieving operational effectiveness.
Job Description
Key Responsibilities:
- Office Management:
- Ensure the office environment is well maintained, organized, and fully equipped.
- Manage office supplies, stationery, and inventory; raise purchase requests as needed.
- Oversee cleaning, security, and general upkeep of the office premises.
- Documentation & Records Management:
- Maintain both physical and digital filing systems for easy retrieval and reference.
- Handle incoming and outgoing correspondence including letters, emails, and deliveries.
- Support document preparation, printing, binding, and scanning.
- Travel & Logistics Coordination:
- Arrange local travel, accommodation, and meeting logistics for staff and visitors.
- Manage vehicle bookings and fuel usage records (where applicable).
- Track and renew office licenses, subscriptions, and contracts.
- Administrative Support to Teams:
- Provide clerical and operational support to departments such as HR, Finance, and Operations.
- Assist with scheduling meetings, preparing agendas, and taking minutes when required.
- Follow up on assigned tasks and maintain logs of administrative activities.
- Vendor & Service Provider Liaison:
- Coordinate with office vendors for utilities, supplies, repairs, and service maintenance.
- Ensure timely payments and delivery of services.
- Compliance & Reporting:
- Ensure adherence to organizational administrative policies and procedures.
- Generate regular reports on office operations, usage of resources, and logistics activities.
Job Requirements
Qualifications & Experience:
- Diploma or Degree in Business Administration, Office Management, or a related field.
- Minimum 2–3 years’ experience in administrative support or office coordination.
- Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
- Familiarity with basic procurement and logistics processes is an added advantage.
