Responsibilities or duties

  • Manage institutional keys, including key automation, audits, allocation monitoring, and clearance processes.
  • Develop, update, and maintain an online asset database for furniture and fittings in offices and lecture rooms.
  • Collect, clean, analyse, and interpret data related to transport systems, energy consumption, water usage, and fuel to support sustainability and operational reporting.
  • Follow up on insurance claims and liaise with relevant government bodies to ensure compliance and timely resolution.
  • Provide administrative support to transport operations, including Little Cab additions and CRS system management.
  • Assist with uploading and processing transport and maintenance invoices.
  • Support report writing, documentation, and preparation of operational and management reports.
  • Maintain accurate data filing, recording, and data management systems.
  • Occupational Health and Safety compliance and follow -up on key recommendations.
  • Event management and organisation in liaison with the events protocol office.
  • Assist in policy and processes reviews
  • Perform any other duties assigned in support of facilities and operations.

Qualifications or requirements (e.g., education, skills)

  • Bachelor’s degree in Facilities Management, Business Administration, Data Management, or a related field.
  • Strong data management and analytical skills.
  • Proficiency in MS Excel and database systems.
  • Good report -writing and documentation skills.
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks.
  • Ability to work collaboratively and support cross -functional teams.

Experience needed

  • At least two years of work experience in administrative roles.
