Executive Assistant at Tatu City Limited
Job Description
Tatu is a project of Rendeavour, Africa’s largest urban land developer with over 30,000 acres of visionary projects in the growth trajectories of large cities in Kenya, Ghana, Nigeria, Zambia and Democratic Republic of Congo. Rendeavour’s vision goes beyond alleviating what is a self-evident problem – that of stifling urban congestion and a dearth of quality housing and commercial property in Africa. Rather, we aim to help create the infrastructure – the living and working spaces, communities, schools and hospitals – that will help sustain and accelerate Africa’s economic growth, meet the aspirations of Africa’s burgeoning middle classes, and serve as a catalyst for further urban development.
Reporting directly to the Sales Director, Tatu City, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant will ensure full confidentiality in all aspects of the assignment, management of information flow and follow-up on deadlines and commitments made.
Key Responsibilities:
- Coordinate complex scheduling and extensive calendar management, events, conference calls and organize catering where necessary.
- To meet and greet the Sales Director’s visitors, ensuring that they are welcomed into a friendly and professional environment
- Follow up deadlines, commitments made, actions taken and coordination of collection and submission of the reports to the relevant stakeholders.
- Screening of all incoming communications, filtering outgoing correspondence for senior management signature, clearance and further action by other staff, wherever possible.
- Perform administrative and office support, maintenance of filing system and contact database.
- Coordinate, and arrange his travel and travel-related activities, including hotel booking, transportation, and meal coordination.
- Identify, anticipate and prepare information required for the meetings and follow up on inward and outward requests for information, outstanding reports, and correspondence.
- Arrange both internal and external meetings requested and in advance for recurring meetings.
- Schedule team meetings, prepare agenda and draft minutes.
- Reminding the Sales Director of important tasks and maintaining deadlines.
- Compiling, and preparing reports, presentations and correspondence.
- Manage filing systems (both electronic and paper) as directed.
- Perform any other duties as assigned from time to time by the Sales Director.
Requirements
- Qualified to degree level or above
- Recognized secretarial or administrative qualification beneficial but not essential
- At least 5 years’ relevant experience in supporting C-Suite management
- Time management and ability to meet deadlines.
- Strong organizational skills and ability to multitask.
- Excellent usage of office software packages (MS Word, Excel, PowerPoint etc.).
- Experience of collating information and producing high-quality correspondence, reports
