Background
Peace Winds is a disaster preparedness, response and recovery organization. Peace Winds advocates for increased collaboration between governments, militaries, NGOs, and the private sector to prepare for and respond to natural disasters across the globe, with the Japan - U.S. relationship as the cornerstone of humanitarian assistance.
The Finance Assistant Officer will work under the direct supervision of the Head of Support Services (HoSS) and in accordance with Peace Winds Japan Kenya (PWJ) policies and procedures. The role is responsible for supporting financial operations and ensuring smooth facilitation of field activities. The Finance Assistant Officer will collaborate closely with the management team and other staff, contributing to efficient financial management and compliance.
Key Roles and Responsibilities
- Support the HoSS in managing USD and KES bank books.
- Assist in the preparation and timely submission of monthly financial reports to headquarters.
- Manage petty cash and conduct weekly counts (every Friday) in the presence of the HoSS or Finance Officer, ensuring proper documentation and filing.
- Ensure accuracy, completeness, and proper filing of all Mpesa and bank records.
- Support the Finance Officer in processing payments through the NetSuite ERP system, ensuring all required supporting documents are complete, signed, and dated.
- Ensure original invoices are obtained for payments and properly filed with corresponding vouchers and supporting documents.
- Verify that all invoices are stamped with the PWJ/Donor “Paid” stamp and duly signed by suppliers.
- Maintain well-organized, chronological filing of vouchers, invoices, and supporting documents.
- Update and maintain the cashbook in the NetSuite ERP system, ensuring all transactions are accurately recorded.
- Assist in monthly account reconciliations, including bank and Mpesa reconciliations. Support donor reporting requirements in collaboration with the HoSS.
- Maintain up-to-date and well-organized financial records.
- Support the Finance Officer and HR Officer in monthly payroll processing.
- Perform any other duties as assigned by the supervisor.
Qualifications and Requirements
- Bachelor’s degree in Finance, Accounting, Business Administration, or a related field, with a minimum of three (3) years’ relevant experience; OR Diploma in Finance, Accounting, Business Administration, or a related field, with a minimum of five (5) years’ relevant experience.
- CPA Part I qualification will be an added advantage.
- Strong knowledge of financial management, budget control, and accounting processes, preferably within a humanitarian or non-profit organization.
- Solid understanding of current accounting standards, taxation, and best practices.
- Proficiency in NetSuite ERP system is required.
- Excellent planning, organizational, and time-management skills, with the ability to meet strict deadlines.
