Our Client is a reputable health insurance brokerage firm seeking to hire a Front Office Officer. The successful candidate will be responsible for managing the front office operations, handling client inquiries, coordinating correspondence, and supporting medical insurance claim processes.
The role requires a polished, well-presented, and customer-focused professional who can communicate effectively with clients, insurance providers, and internal teams while ensuring smooth daily office operations. The ideal candidate should be organized, proactive, and comfortable handling administrative tasks such as dispatching letters, scheduling meetings, and managing client documentation.
Responsibilities or duties
- Receive and welcome clients and visitors professionally while maintaining a positive first impression of the organization.
- Handle incoming calls, emails, and walk-in inquiries in a professional and timely manner.
- Provide clients with information regarding insurance policies, services, and claim procedures.
- Assist clients with medical insurance claims inquiries and follow up on claim status with insurers when necessary.
- Manage front office correspondence including receiving, recording, and dispatching letters and official documents.
- Maintain and update client records and ensure proper filing of documentation.
- Coordinate calendars, appointments, and meetings for management where required.
- Ensure the reception area and front office remain organized and professional at all times.
- Follow up with insurance companies, hospitals, and clients on claim documentation where necessary.
- Support internal teams with administrative tasks including documentation preparation and coordination of office activities.
- Maintain accurate logs of client interactions and front office activities.
- Assist with general office administration and provide support to other departments when required.
Qualifications or requirements (e.g., education, skills)
- Bachelor’s Degree/Diploma in Business Administration or a related field.
- Proficiency in MS Office (Word, Excel, and Outlook) is required.
- Strong verbal and written communication skills.
- Professional appearance and excellent interpersonal skills.
- Strong organizational and administrative abilities.
- Ability to manage confidential information with discretion.
- Excellent customer service orientation and attention to detail.
Experience needed
- Minimum 1-2 years’ experience in a front office, customer service, or administrative role, preferably within insurance or healthcare environment.
- Basic knowledge or exposure to medical insurance claims processing is highly preferred.
- Calendar management experience is an added advantage.
