Fieldforce Solutions Limited is a local Kenyan agency that provides Experiential Marketing, Branding and Field Force Management Services.
We are seeking a reliable, organized and detail-oriented HR Assistant to support the day-to-day human resource functions of the organization. The successful candidate will assist with HR administration, employee records, attendance and leave management, payroll support, recruitment and general employee-related matters.
This is an opportunity for an HR professional with practical experience who is looking to further develop and apply their skills in a dynamic working environment.
Key Responsibilities
HR Administration
- Maintain and update employee records, contracts and personnel files.
- Assist in preparing HR letters, memos, reports and other documentation.
- Support the implementation and administration of HR policies and procedures.
- Maintain confidentiality of employee and company information.
Attendance and Leave Management
- Monitor and maintain employee attendance records.
- Track leave applications, balances and related documentation.
- Prepare attendance and leave reports as required.
Payroll Support
- Assist in compiling payroll information, including attendance, overtime and other relevant payroll inputs.
- Ensure payroll information is accurate and submitted on time.
- Respond to routine employee payroll queries and escalate complex matters where necessary.
Recruitment and Onboarding
- Assist with job advertisements and initial screening of applicants.
- Coordinate interviews and communicate with candidates.
- Assist with the preparation of onboarding documentation and induction of new employees.
Employee Support and HR Coordination
- Serve as a first point of contact for routine HR-related queries.
- Assist in employee welfare and engagement activities.
- Support communication between HR and other departments.
- Assist with other HR-related duties as assigned.
Qualifications and Experience
- Diploma or equivalent qualification in Human Resource Management.
- Minimum of 3 years' relevant experience in HR, preferably covering HR administration, employee records, payroll support and recruitment.
- CHRP (K) qualification or ongoing studies will be an added advantage.
- Basic understanding of HR administration, payroll processes and employment practices in Kenya.
- Proficiency in Microsoft Word, Excel and Outlook.
- Good organizational and time-management skills.
- Good communication and interpersonal skills.
- High level of accuracy, discretion and attention to detail.
