Inventory Associate at Keep IT Cool

Supported by Google, Keep IT Cool offers an advanced smart distribution platform that delivers cold chain services to underserved areas. This platform reduces post-harvest losses, improves market access, and enhances supply chain efficiency by 98%.

Job Purpose:

  • The Inventory Associate will be responsible for tracking, verifying, and reporting all stock movement across multiple locations. This includes sourcing updates, aggregation efficiency, shrinkage, spoilage, reconciliations, and cost reporting. The role requires strong collaboration with finance, operations, and quality teams to maintain accurate inventory data across platforms (Zoho & Markiti) and support supplier accountability.

Key Responsibilities

Inventory Management & Reconciliations

  • Conduct weekly and monthly physical stock takes at all sites (HQ, Nakuru, Kisumu, Turkana).
  • Ensure accurate inventory reconciliation across Zoho, Markiti, and physical counts.
  • Investigate and report any variance above 1% (by weight) and ensure zero variance in pieces.
  • Maintain real-time inventory aging reports and flag stale or slow-moving stock.

Sourcing & Aggregation Support

  • Track and report on sourcing accuracy (target: 90%+ match to projections).
  • Ensure proper SKU specifications and report deviations (within ±5%).
  • Collect and file farm gate forms, and share sourcing reports with Finance and Operations daily.
  • Analyze cost implications of quality/quantity deviations and support recovery planning.

Processing & Shrinkage Monitoring

  • Monitor processing schedules, post-harvest losses (PHL <1%), and batching outcomes.
  • Validate shrinkage, spoilage, and NE (non-edible) losses for authorization and adjustment in systems.
  • Maintain accurate valuation reports on shrinkage and spoilage on a weekly basis.

Cost Management & Supplier Coordination

  • Track and report on inbound costs, aggregation costs, and processing expenses.
  • Collaborate with sourcing to optimize stock costs and advise on cost reduction strategies.
  • Work closely with suppliers to ensure contract compliance, timely invoicing, and payment scheduling.

Financial & Operational Reporting

  • Prepare daily, weekly, and monthly reports on KPIs including stock levels, variance, and cost trends.
  • Assist with supplier reconciliations, payments tracking, and ensure timely issue resolution.
  • Support revenue reconciliation across platforms and provide justifications for any variances.

Qualifications and Competencies

  • Bachelor’s degree or diploma in Accounting, Supply Chain, Procurement, or related field.
  • 2+ years’ experience in inventory, procurement, or finance roles, preferably in agriculture or FMCG.
  • Familiarity with inventory/accounting systems like Zoho and Markiti.
  • Strong Excel and data reporting skills.
  • Detail-oriented, analytical, and proactive in identifying risks and opportunities.
  • Ability to travel to remote sites and coordinate with cross-functional teams.
