Gua Africa is seeking an experienced and highly organised Programme Manager (Freelance Consultant) to support the effective planning, coordination and delivery of its educational programmes.
The consultant will work closely with the Executive Director, programme teams, community partners and other stakeholders to strengthen programme quality, monitoring, reporting, communications and coordination, ensuring programme activities translate into measurable and sustainable impact.
This is an excellent opportunity for a proactive and self-motivated programme professional who can work independently, manage multiple priorities and build strong relationships across diverse teams and communities.
Key Responsibilities
Programme Management & Coordination
- Coordinate the planning and day-to-day delivery of Gua Africa’s educational programmes.
- Lead weekly programme coordination meetings, including setting agendas, reviewing priorities, tracking progress and following up on agreed actions.
- Support programme planning, implementation and quality assurance across projects.
- Monitor programme performance against agreed objectives and recommend improvements where necessary.
- Coordinate programme activities across Nairobi, Kakuma and other programme locations, including travel as required.
- Identify operational challenges and recommend practical solutions to improve programme effectiveness.
Monitoring, Evaluation & Reporting
- Prepare high-quality programme reports for leadership, donors and programme partners.
- Collect, analyse and present programme data to demonstrate impact and inform decision-making.
- Maintain accurate programme records, documentation and reporting systems.
- Support organisational learning through monitoring, evaluation and programme reflection.
- Contribute to the development of programme dashboards, impact measures and evidence for fundraising and strategic planning.
Communications & Fundraising
- Coordinate communications that showcase Gua Africa’s programmes and impact.
- Develop newsletters, programme updates and fundraising communications.
- Coordinate Gua Africa’s social media presence, ensuring regular, engaging and consistent content across relevant platforms.
- Capture and share authentic programme stories while maintaining safeguarding, dignity and ethical storytelling standards.
- Work closely with the Development Manager to support fundraising campaigns, donor engagement and partnership communications.
- Ensure consistency in Gua Africa’s brand, messaging and external communications.
Team & Stakeholder Coordination
- Coordinate the day-to-day work of the Programme Secretary, setting agreed priorities and monitoring progress against weekly objectives.
- Ensure programme documentation, reporting and administrative systems are maintained to a high standard.
- Promote effective communication and collaboration across programme teams, partners and community stakeholders.
- Support implementation of organisational policies, safeguarding procedures and programme standards.
Person Specification
Essential Requirements
- Bachelor’s degree or higher qualification in Project Management, Education, International Development, International Relations, Community Development, Human Resource Management, Social Sciences, Business Administration, or a related discipline.
- Minimum 3 years’ experience coordinating programmes or projects within the NGO, education or humanitarian sector.
- Excellent written and verbal English communication skills, with strong report-writing ability.
- Experience developing newsletters, programme communications and managing social media platforms.
- Strong analytical skills, including the ability to collect, interpret and present programme data.
- Excellent organisational and project coordination skills, with the ability to manage multiple priorities independently.
- Experience coordinating teams and working with multiple stakeholders.
- Proficiency in Microsoft Office and cloud-based collaboration platforms.
- Demonstrable commitment to safeguarding, Equality, Diversity, Inclusion and Belonging (EDIB), and community-led development.
- Legal right to work in Kenya.
Desirable
- Experience working with refugee or displaced communities.
- Knowledge of Monitoring, Evaluation and Learning (MEL) frameworks.

Consultancy Terms
- Commitment: Approximately 2 days (16 hours) per week, with flexibility according to agreed programme priorities.
- Working Schedule: Working days to be agreed with the Executive Director.
- Contract: Initial fixed-term freelance consultancy of 12 months, with a three-month review period.
- Renewal: Continuation will be subject to satisfactory performance, organisational priorities and available funding.
- Location: Kenya-based and primarily home-based, with travel to programme locations as required.
- Fees: Competitive and commensurate with qualifications and experience, payable monthly upon submission of an invoice and subject to applicable Kenyan tax legislation, including withholding tax where applicable.
