Job Description
We are seeking a highly organized, proactive, and tech-savvy Recruitment Assistant / Operations Admin to support a growing home care agency. This role combines recruitment, client intake, operations coordination, and client success responsibilities.
The ideal candidate thrives in fast-paced environments, manages high volumes of applicants and client inquiries efficiently, and ensures an excellent client experience across all touchpoints.
Responsibilities
- Manage high-volume inbound client inquiries, ensuring rapid response times to secure leads.
- Handle client relationship management and intake processes, gathering information and coordinating next steps.
- Coordinate intake calls, ensuring compliance with state requirements (e.g., New Jersey intakes must be handled by a nurse).
- Post job ads on platforms such as Indeed and manage active candidate pipelines simultaneously.
- Conduct initial candidate screening, schedule interviews, and support high-volume recruitment processes (including part-time senior caregivers).
- Facilitate onboarding for new caregivers, ensuring documentation and compliance requirements are met.
- Act as Client Success support by monitoring reviews, collecting feedback, and scheduling appointments.
- Maintain and update CRM systems (WellSky for existing clients and WelcomeHome for new clients).
- Support administrative outreach and intake processes, with a strong focus on client-facing interactions.
- Assist with payroll and accounting processes when needed (preferred but not required).
- Collaborate effectively with team members, demonstrating strong teamwork and adaptability.
Required Skills
- Recruitment and talent acquisition in high-volume hiring.
- Job posting and pipeline management on Indeed.
- Candidate screening and onboarding processes.
- Client intake and relationship management.
- Experience handling inbound communication and rapid lead response.
- CRM systems proficiency (WellSky, WelcomeHome).
- Strong organizational, multitasking, and administrative skills.
- Payroll and accounting knowledge (preferred).
- Advanced English for fluent communication with clients and candidates.
Qualifications
- 3 to 5 years of experience in recruitment, operations, or administrative support.
- Experience in healthcare, home care, or service-based industries.
- Proven ability to manage high-volume inbound communication and client-facing roles.
- Hands-on experience posting jobs and managing pipelines on platforms such as Indeed.
- Practical experience with CRM systems (WellSky, WelcomeHome preferred).
- Strong understanding of client intake and outreach processes.
- Tech-savvy with the ability to quickly learn new tools and systems.
- Excellent communication and organizational skills.
- Ability to work independently and as part of a team.
- Payroll and accounting knowledge is a plus.
