Sustainet E.A. is a Non- governmental organization promoting sustainable agricultural practices in East and Horns of Africa. Our network includes 209 NGOs/CBOs from the region with a reach out of 1.5 million small-holder farmers. Sustainet E.A. Focuses on promotion of sustainable agricultural practices aimed at eradicating hunger and poverty through increasing agricultural productivity and profitability while conserving the utilization of the natural resources. Sustainet came into being as an initiative by the German Council for Sustainable Development through "programme of action 2015: Poverty reduction- a Global Responsibility", in 2003. The project was piloted in three regions of East Africa (Kenya and Tanzania), Asia (India) and Latin America (Peru and Bolivia) www.sustainet.org. However in 2009 founding member organizations from East Africa region at an Annual General Meeting (AGM) resolved to legally register the initiative as an international NGO.
Job Purpose:
The administration officer will be our first point of contact and the face of the company for all our customers, visitors, and vendors either in person, online or via telephone. He/she will be responsible for creating a lasting first impression for the Shiriki house community brand. .

Key Responsibilities:
• Ensure smooth flow of people through the space, provide administrative support for the space and ensure that all responsibilities are completed accurately and delivered with high quality and in a timely manner.
• Deliver exceptional member experience by responding to e-mails and answering phone calls.
• Appreciate the Shiriki house community vision and mission and articulate it to our customers as well as communicating our values.
• Respond to and handle disputes and escalations with a sense of urgency and importance.
• Collaborate with the other members of the Shiriki house community including our service providers to effectively resolve high priority member issues.
• Professionally take our potential community members through the Shiriki House community MEMBER experience, detailing the services and benefits
• Stay informed of all site and policy changes as they occur and be able to articulate them accurately to SH members.
• Be pro-active about SH member needs to address new challenges and opportunities and solve problems for members daily.
• Friendly receiving visitors by greeting, welcoming, directing and announcing them to the appropriate person/people.
• In depth knowledge of our members projects in order to understand how best to add value to them.
• Work with marketing and senior management to organize community events that bring members together.
• Operate office management software to make office space bookings, and appointments.
• Answer incoming phone calls and provide callers with information about the company when required.
• Receive and organise mail and office deliveries
• Organise, package and send out/courier mail
• Maintain office security by following office procedures, monitoring access control, CCTV and visitor log.
• Maintain office meeting/appointment calendar
• Perform administrative duties such as filing and management of SH documents
• Coordinate office cleaning and other functions as required.
• Maintain office supplies such as stationary, and services such as IT support
• SH tenancy/lease contract preparation/management
• Management of SH supply of consumables and stock
• Efficient management of common utilities i.e Board, Skype Rooms
• Handle office petty cash
