This position is responsible for supporting the administrative operations at the Beacon Technical Training Institute. The incumbent will play a key role in ensuring smooth and efficient day-to-day operations of the assigned department. He/ She will provide comprehensive administrative, secretarial, and logistical support, maintain organized records, manage departmental communication, and create a professional and welcoming environment for visitors, staff, and students. This role requires excellent organizational skills, attention to detail, and the ability to multitask in a dynamic academic setting.
Key Responsibilities:
- Serve as the first point of contact for visitors and clients, ensuring professional reception and assistance.
- Provide administrative and secretarial support to departmental staff, including scheduling, correspondence, and document preparation.
- Support procurement processes, manage office inventory, and ensure prudent use of supplies.
- Assist students with general inquiries and document handling.
- Organize and support departmental meetings and events.
- Maintain accurate records, including financial and student-related data.
- Handle incoming and outgoing communications professionally.
Qualifications & Experience:
- Diploma in Business Administration, Front Office Operations, or Secretarial Studies.
- At least 2 (two) years of experience in a similar administrative role, preferably within an academic or institutional setting.
Key Skills and Competences:
- Excellent communication and interpersonal skills.
- Strong computer skills (MS Word, Excel, PowerPoint, QuickBooks, and desktop publishing).
- Good typing and basic bookkeeping skills.
- High level of integrity, organizational ability, and self-drive.
- Ability to multitask and work well with minimal supervision.
- Strong public relations and customer care skills.
