The Administrative & Operations Assistant will support general plant operations by managing administrative tasks, ensuring regulatory compliance, and assisting in field and sales activities. The role requires a proactive individual with strong organizational skills to enhance operational efficiency.

Key Responsibilities

Administrative Duties

  • Maintain records through updating, photocopying, scanning, and filing documents.
  • Perform data entry, reporting, and documentation.
  • Manage inventory of raw materials and finished products.
  • Handle phone calls, emails, and messages, providing timely assistance.
  • Oversee KRA EGMS management, including stamp declarations, forecasting, and record-keeping.
  • Renew licenses, permits, and compliance documentation.
  • Ensure office and plant cleanliness.
  • Manage social media accounts and prepare meeting minutes and reports.
  • Draft documents such as customer complaint forms, process flows, and corrective actions.
  • Monitor compliance with KEBS water quality standards.
  • Onboard new clients and maintain relationships.
  • Research efficiency improvements, such as Zoho invoicing and payment recording.
  • Prepare and submit tender documents.
  • Handle purchase processes and maintain supplier relationships.
  • Negotiate favorable terms and prices with suppliers.
  • Research, vet, and recommend suppliers for company orders.

Plant Operations

  • Assist in water filtration, filling, labeling, and packaging.
  • Perform plant maintenance and cleaning, including backwashing and reporting malfunctions.
  • Manage neighbors’ water meter readings, billing, and related concerns.
  • Oversee repair and maintenance activities.

Field Work and Sales

  • Represent the company at marketing exhibitions.
  • Run field errands to suppliers and City Hall.
  • Research price adjustments and discounting opportunities.
  • Ensure timely dispatch of orders.
  • Support general promotion and marketing efforts.

Qualifications and Skills

  • Bachelor’s degree in Business Administration, Operations Management, or a related field.
  • Proven experience in administrative, operations, or compliance roles.
  • Knowledge of KRA EGMS, KEBS standards, and tender processes.
  • Proficiency in Microsoft Office and Zoho or similar software.
  • Strong negotiation, communication, and organizational skills.
  • Ability to multitask and work independently.
