Assistant Office Administrator

 

Terms of Employment: Permanent and Pensionable 

Job Purpose:

  • Reporting to the Manager, Administration, the jobholder will be responsible for undertaking activities in the assigned office.

Key responsibilities

  • Typing letters and memos;
  • Taking oral dictation;
  • Managing e-office;
  • Ensuring security of office equipment and records including classified materials;
  • Operating office equipment;
  • Attending to visitors/clients;
  • Maintaining office diary;
  • Handling enquiries;
  • Maintaining schedules of meetings;
  • Preparing responses to routine correspondence;
  • Maintaining proper record keeping of correspondence and file movement;
  • Ensuring security, and confidentiality of information;
  • Managing office protocol and etiquette;
  • Handling telephone calls and appointments;
  • Undertaking any other duties lawfully assigned by the supervisor.

Requirements for Appointment

  • Kenya Certificate of Secondary Education, mean grade C- (minus);
  • Diploma in Secretarial Studies from the Kenya National Examinations Council (KNEC);

OR

  • Business Education Single and Group Certificates (BES & GC) from the Kenya
  • National Examinations Council in the following subjects:
    • Typewriting III (50 w.p.m) Computerized Document Processing III;
    • Shorthand III (110 w.p.m);
    • Business English III/Communication II;
    • Office Practice II;
    • Secretarial Duties II;
    • Commerce II;
    • Office Management III/Office Administration and Management III;
  • Proficiency in computer applications
