JOB DETAILS:
The Channels Operations team supports the alternate channels that allow customers to access banking services on their mobile devices, desk tops and ATMs.
The main tasks revolve around general ledger account reconciliation, resolving exceptions emanating from the reconciliation, float management for the e-wallet accounts and manual processing of transactions where products are not fully automated.
On joining the team, the Channels Team Leader will be trained and allocated specific tasks.
The Channels team supports 24 hour online services and team members may therefore be required to work outside normal working hours from time to time. An arrangement is in place to ensure due compensation for the extra hours worked.
By signing off this role profile, the role holder affirms to having read and understood all relevant procedure manuals and has clarity on applicable controls and SLAs.

Job Description
• Main Accountabilities and Time Split
• Workflow monitoring and processing 50 %
• Channels Ops Float Management
• Ensure e-float accounts are maintained in adherence to e-float supply, disbursement and holding limits procedures by closely monitoring limits via the various service provider portals.
• The Team Leader should:
• Extract and avail to the Analyst the Airtime float reports
• Review the Summary Float Utilization schedule for all products
• Authorize float requisitions as per the Summary Float Utilization Schedule
• Submit Airtime float requests on Dealer’s portal
• Authorize Agency Float issuance/redemption transactions to branches
• Circulate to branches the Float Issued Report
• Review and authorize the SFI files to process the float issuance/redemption transactions
• Agency/Branch Float Management
• Review the Agency float GLs Reconciliation
• Review the Circulated Branch Differences report and escalated long outstanding items
• Manage and resolve Agency queries with branches
• Management of Agency requests/queries via the Dealer’s Portal
• Review branch float usage and seek approval for float limit adjustment
• Channels Ops Reconciliation
• Daily extraction of the reports from the various systems including Safaricom, Airtel, Cellulant, Craft Silicon, Business Objects, BOC, Intellimatch etc., for review and verification
• Monitor and Review all Mpesa suspense and float accounts, ensuring that all transactions processed daily reconcile with the Web tool and respective GL Account balances
• Resolve and escalate exceptions arising from reconciliation
• Review and approve actions on exceptions raised by the analyst
• Review, verify and authorize Corporate Pay bill and Buy goods SFI files
• Review and sign off daily reconciliation of transactions done on Universal Bill Payment (UBP) and confirm validity and accuracy of the credit to Cellulant
• Confirm manual mark-ups are submitted to the Central Reconciliation Team
• General Duties
• Resolve Queries and Complaints from various sources including BOC, Absa branches and Contact Centre within SLA
• Support projects related to Channels Operations
• Undertake and review User Acceptance and Testing (UAT), draft procedure manuals and process maps, outline new risks and operational controls
• Filing and archiving of Channels records in accordance with the records management policy
• Ensure snap checks are properly done, reviewed and submitted on time
• Timely review and release of accurate performance MI to stakeholders
• Ensure all returns are reviewed and circulated within stipulated time lines
• Submit timely self -MI
• Review the attendance register on a daily basis and sign off
• Effectively plan and manage own leave and ensure capable successor is in place
• Drive own cross training
• Manage costs within budget and come up with cost saving initiatives
• Raise concerns if suspicious or in doubt
• Manage the relationship between Absa Bank and the various mobile service providers including Safaricom, Orange and Airtel
• In case of absence, hold fort for the Channels Operations Manager and/or give support to the acting manager ensuring service levels are maintained as per Absa standards
• Oversee work stream operations by ensuring proper planning of day to day activities and absence by team members. Regularly consult with the Channels Manager to improve efficiencies in the team’s operations
• Follow laid down processes and policies to ensure protection of assigned bank assets especially when working away from office
• Review relevant operations manuals and ensure they are duly updated and reviewed at least once every 2 years
• Circulation of Quarterly signatures to all stakeholders
• Team Work 15%

• Ensure that all activities and duties are carried out in full compliance with regulatory requirements, Enterprise Wide Risk Management Framework and internal Absa Policies and Policy Standards. Understand and manage risks and risk events (incidents) relevant to the role.

• Ensure snap checks are issued, done and reviewed within SLA
• Ensure handover/take over certificates are in place and signed for all staff going on leave
• Ensure manuals are updated and signed off whenever there are changes in process or at least once every 2 years
• Ensure annual staff attestations for all manuals
• Ensure call over process is duly adhered to as per laid down processes
• Ensure daily review and sign off of U726 report
• Ensure daily review of the attendance register
• Ensure the name tag is well displayed while in the bank premises
