Consultancy: Facilitation of Capacity Building Sessions During the Africa Team Retreat

Scope of Work 
The consultant is expected to:

  • Hold preparatory meetings, review background materials, and develop the retreat agenda and facilitation plan.
  • Facilitate Work Planning for 2027 sessions. Guide the team through collaborative work planning to develop clear workstreams, activities, deliverables, dependencies, timelines, and individual accountabilities for 2027.
  • Guide country focal teams to present their contexts and support the team to reach portfolio and priority decisions.
  • Design and facilitate team building integration of new colleagues, and communication sessions.
  • Capture all decisions and outputs, photograph the sessions, and submit the post-retreat report.

Deliverables

  • A comprehensive facilitation plan, including methodology, detailed agenda, session designs, and activities, agreed with the Africa Team ahead of the retreat. 
  • Africa Team's 2027 Work Plan using the agreed work planning template, with clear workstreams, activities, deliverables, dependencies, timelines, and individual accountabilities.
  • Country Portfolio and Strategic Priorities document with documented decisions on regional focus areas for 2027.
  • Power-Shifting Framework document defining how powershifting will be operationalized across hiring, governance, partnerships, and member engagement
  • A retreat report summarising discussions, decisions, insights, outcomes, and recommendations, alongside pre- and post-retreat evaluations to document baseline expectations, outcomes, learnings, and participant feedback.
  • All supporting materials, presentations, templates, and resources used during the retreat.
  • Photographs capturing team members during team-building activities and sessions.
  • Duration and location 
  • The Africa Team Retreat is scheduled to take place on the week of 29th September 2026 in Nairobi, Kenya. 
  • The consultant is expected to be available for preparatory meetings, retreat facilitation, and post-retreat reporting.

Qualifications and Expertise 

  • The ideal consultant should have:
  • Proven experience in team facilitation and organisational development, including facilitating strategy operationalisation and change processes.
  • Demonstrated experience designing and facilitating working sessions and workshops that produce concrete decisions and documented outputs.
  • Expertise in team building, communication, and collaboration strategies, including integrating new staff into established teams.
  • Understanding of organisational values and dynamics of remote and distributed teams across diverse regional contexts.
  • Familiarity with power-shifting and localisation approaches in international development and understanding of how these principles shape organizational practice.
  • Experience working with international development organisations, ideally in Africa or with Africa-focused teams.
  • Excellent communication and interpersonal skills, with the ability to work sensitively across diverse country contexts and build psychological safety for open dialogue and decision-making.
  • Full computer literacy and fluency in English both written and spoken are essential.

  • Clear understanding of the assignment/interpretation of the TORs.
  • Methodology to be used during the assignment.
  • Work plan indicating the maximum time/duration required for the assignment, including a detailed financial proposal.

Duration of Assignment 

  • This is a 6-day assignment that will consist of 2 days of pre-retreat, 3 days equivalent of retreat facilitation, and 1 day of post retreat that includes retreat reporting and recap. The Africa Team retreat is scheduled for the week of 29th September 2026.
