The Opportunity:

The Driver will provide safe, reliable, and efficient transportation services in support of organizational programs and operations. The role ensures adherence to organizational transport policies, donor compliance requirements, and road safety regulations while supporting administrative and logistical functions where required.

Key Responsibilities

Safe and Responsible Driving

  • Safely operate assigned organization vehicles in compliance with national traffic laws and organizational transport policies.
  • Ensure the safety and security of passengers, including staff, visitors, consultants, and other authorized personnel.
  • Apply defensive driving techniques and always demonstrate high situational awareness.
  • Transport staff and materials to field locations, partner sites, and official engagements as assigned.
  • Exercise duty of care in all driving assignments, including adherence to journey management protocols where applicable.

Vehicle Management and Maintenance

  • Ensure assigned vehicles are clean, roadworthy, and well-maintained at all times.
  • Conduct daily pre-trip and post-trip vehicle inspections and report defects promptly.
  • Ensure timely servicing and maintenance in coordination with the transport/administration unit.
  • Monitor fuel usage and ensure efficiency and accountability in line with organizational policies.
  • Safeguard organizational assets by ensuring proper use and care of assigned vehicles.

Documentation, Reporting & Compliance

  • Maintain accurate and up-to-date vehicle logbooks, including mileage, fuel consumption, trips, and destinations.
  • Submit timely monthly vehicle reports in accordance with organizational requirements.
  • Immediately report road accidents, incidents, near misses, or mechanical issues to management.
  • Comply with all donor, audit, and organizational documentation standards related to transport operations.
  • Support audit readiness by ensuring completeness and accuracy of vehicle records.

Administrative and Logistical Support

  • Support basic administrative duties including photocopying, filing, scanning, and document deliveries.
  • Collect and deliver official correspondence, parcels, and documents between offices and partners.
  • Assist in distribution of internal communications, newspapers, and program materials across departments.
  • Support field logistics as assigned, including movement of supplies and program materials.

Safety, Safeguarding & Organizational Conduct

  • Participate in mandatory safety, safeguarding, and driver training sessions.
  • Adhere to organizational safeguarding policies, including protection of vulnerable populations where applicable.
  • Uphold high standards of integrity, professionalism, and confidentiality at all times.
  • Report any safeguarding concerns, security risks, or unethical conduct through established reporting channels.

Fleet Compliance & Risk Management

  • Adhere to journey management procedures, including travel approvals and route planning requirements.
  • Ensure compliance with insurance, registration, and statutory vehicle requirements.
  • Contribute to risk mitigation by identifying and reporting road safety or operational risks.
  • Support emergency response procedures when required.

Minimum Requirements

Education & Certification

  • Minimum KCSE D+ or equivalent.
  • Valid driving license (Classes B, C & E) or equivalent.
  • Valid AA Driving Certificate or equivalent defensive driving certification.
  • Valid Police Clearance Certificate.

Experience

  • Minimum 4 years of proven professional driving experience, preferably in an NGO, donor-funded, or corporate environment.

Skills & Competencies

  • Strong knowledge of Kenyan road networks, especially field/rural routes.
  • Excellent understanding of road safety regulations and defensive driving techniques.
  • Ability to drive both manual and automatic vehicles.
  • High attention to detail in record keeping and documentation.
  • Strong interpersonal and communication skills.
  • Ability to work under pressure and manage long-distance travel safely.
  • High integrity, reliability, and accountability.
