Role Overview & Scope

The Executive Assistant & HR Officer serves a dual-impact function, delivering high-level administrative support to executive leadership while coordinating core Human Resource operations across the organization. This position requires high confidentiality, exceptional organization, proactive communication, and a strong balance of executive administrative skills and HR operational expertise.

Key Responsibilities

1. Executive Support & Administrative Management

  • Calendar & Schedule Management: Proactively manage complex calendars, coordinate executive appointments, and schedule high-level internal and external meetings.
  • Travel & Travel Logistics: Arrange seamless international and domestic travel itineraries, accommodations, transfers, and meeting schedules.
  • Communication & Liaison: Serve as a primary point of contact between executive leadership, board members, clients, and internal department leads.
  • Documentation & Reporting: Prepare high-quality briefs, board decks, presentations, meeting minutes, and official correspondence.

2. Human Resources Operations

  • Recruitment & Onboarding: Draft job descriptions, coordinate job postings, screen applicant CVs, schedule interviews, and facilitate seamless employee onboarding.
  • Personnel Records & Compliance: Maintain accurate, confidential employee files and ensure organizational compliance with local labor laws and internal policies.
  • Employee Relations & Culture: Act as an accessible point of contact for employee inquiries, assist in resolving workplace issues, and foster a healthy work environment.
  • Performance & Leave Management: Track leave balances, coordinate periodic performance appraisal cycles, and support staff learning and development initiatives.
  • Payroll & Benefits Coordination: Collaborate with the finance team to process monthly payroll variables, manage employee benefits programs, and update staff records.

Minimum Requirements & Qualifications

  • Education: Bachelor’s Degree in Human Resource Management, Business Administration, Public Administration, or a related field.
  • Experience: 3–5 years of progressive experience in executive administration, office management, and core HR functions.
  • Professional Certifications: HR certification (e.g., CHRP, SHRM, CIPD) is an added advantage.

Key Skills & Competencies

  • Confidentiality: Absolute discretion when handling sensitive organizational data and personal employee information.
  • Communication Skills: Excellent written and oral communication skills for executive-level reporting and interpersonal engagement.
  • Organization & Multitasking: Ability to prioritize conflicting demands, manage tight deadlines, and work independently.
  • Technical Proficiency: Mastery of modern office software, Google Workspace, Microsoft Office Suite, and familiarization with HRIS (Human Resource Information Systems).
