About the role
This is not a traditional EA role.
City Eye Hospital is a growing specialist ophthalmic institution serving over 16 million people across Kenya, and our Executive Director needs a force multiplier: someone who protects her time, filters what reaches her desk, and builds the coordination infrastructure that lets her lead at the level this organisation demands.
You will not be inheriting a system. You will be building one.
What you will own
- The ED’s calendar, end-to-end: scheduling, prioritisation, and forward planning
- Her inbox: triaging, drafting correspondence for her approval, and closing threads independently
- Meeting governance: agendas, minutes within 24 hours, a live action tracker, and midweek follow-up with the management team
- Decision filtering: researching options and bringing structured recommendations on matters that should not consume the ED’s time
- Board and stakeholder coordination: board packs, management and external partner follow-ups, and ensuring the ED is prepared for every significant engagement
- Personal coordination: travel, logistics, supplier management, and scheduling, anticipated proactively rather than managed reactively
What we are looking for
You have 3 to 6 years of experience supporting a senior principal, ideally at C-suite level, and you have built systems in environments where none existed before.
The profile we are hiring for is specific: you are structured enough to track everything, assertive enough to follow up on senior people without discomfort, and discreet enough to handle what comes with proximity to leadership.
You write well enough that your drafts require minimal editing. You bring recommendations, not problems. And you are honest with yourself about whether you prefer to wait for direction or go looking for what needs to be done.
