Front office personnel are the first point of contact for guests and visitors, responsible for managing the reception area, handling inquiries, and providing administrative support
Guest & Visitor Management: Greet and welcome visitors, manage visitor logs, and ensure security procedures are followed. Communication: Answer, screen, and direct phone calls, handle messages accurately, and provide information about services. Administrative Tasks: Sort and distribute incoming mail and deliveries, file documents, perform data entry, and operate office equipment like printers and photocopiers. Scheduling: Manage calendars, schedule appointments and meetings, and maintain room bookings. Organization: Maintain a clean, organized, and professional reception area and keep office supplies stocked. Problem-Solving: Address and resolve guest or client concerns, complaints, and general inquiries efficiently and professionally. Support: Assist other departments and staff with various administrative and clerical tasks as needed. Digital Presence: Engage with clients and respond to inquiries via social media and other digital channels, acting as a brand ambassador.
Communication Skills: Ability to communicate clearly and professionally both verbally and in writing. Organizational Skills: Strong ability to multitask, manage time effectively, and maintain an organized workspace. Technical Proficiency: Knowledge of office software, such as the Microsoft Office suite, and the ability to operate standard office equipment. Customer Service: A friendly, welcoming, and helpful demeanor to ensure guests and clients feel valued. Problem-Solving: The capacity to think critically and find effective solutions to guest or operational issues. Attention to Detail: Accuracy in handling messages, data entry, and maintaining records. Teamwork: The ability to collaborate effectively with colleagues and other departments to support overall goals.
