Job Purpose

The Front Office Clerk serves as the first point of contact for guests and is responsible for delivering excellent customer service throughout the guest journey. The role includes handling reservations, guest check-ins and check-outs, responding to enquiries, processing payments, and ensuring guests receive a warm and professional experience.

Key Responsibilities

  • Welcome guests warmly and provide professional customer service at all times.
  • Process guest check-ins and check-outs efficiently and accurately.
  • Handle room reservations, cancellations, and modifications.
  • Respond promptly to guest enquiries, requests, and complaints, escalating issues where necessary.
  • Maintain accurate guest records using the hotel's property management system.
  • Process payments, issue invoices and receipts, and balance daily cash transactions.
  • Coordinate with Housekeeping and Maintenance to ensure room readiness and prompt resolution of guest issues.
  • Answer telephone calls and direct enquiries appropriately.
  • Provide guests with information about hotel facilities, local attractions, and available services.
  • Maintain confidentiality of guest information.
  • Ensure the reception area remains clean, organized, and welcoming.
  • Comply with hotel policies, procedures, and health and safety standards.

Qualifications

  • Diploma or Certificate in Hospitality Management, Hotel Management, Tourism Management, or a related field.
  • Additional customer service training is an advantage.

Experience

  • Minimum of 3–5 years' experience in a similar Front Office Clerk or Reception position within a reputable hotel or resort.
  • Experience using hotel property management systems (PMS) is highly desirable.

  • Strong interpersonal and problem-solving skills.
  • Good organizational and time management abilities.
  • Basic accounting and cash handling skills.
