Role Overview
We are seeking a dynamic and organized Front Office Executive to manage our reception area and provide administrative support. The ideal candidate will be the first point of contact for visitors and callers, ensuring a professional and welcoming environment.
Responsibilities
- Greet and welcome visitors in a professional and friendly manner.
- Answer and direct phone calls, take messages, and manage correspondence (emails, mail).
- Manage the reception area, ensuring it is tidy and presentable.
- Schedule appointments and manage calendars for the team.
- Provide administrative support, including filing, photocopying, and data entry.
- Assist with event coordination and logistics as needed.
- Maintain a database of contacts and visitor logs.
- Handle inquiries from stakeholders, donors, and the public.
Qualifications and Requirements
- High school diploma or equivalent; a certificate in office administration or a related field is a plus.
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication and interpersonal skills.
- Strong organizational and time-management abilities.
- Ability to multitask and prioritize tasks effectively.
- A positive attitude and a customer-service oriented approach.
Experience
Minimum of 1-2 years of experience in a front office or administrative role.
Work Environment
This is a full-time position based at our offices in Nairobi. You will be part of a dedicated team working in a supportive and professional environment.
