Background
Our client is one of the leading brand of Kitchen & Home Appliances in Kenya, they are seeking a highly organized and digitally proficient HR Administrator. This is an execution-focused position centered on compliance, record-keeping, and process efficiency.
They are not looking for a traditional strategic HR Manager. They need a “digital-first” Administrator—someone who leverages technology (AI, templates, Excel) to speed up workflows, maintain impeccable records, and strictly follow Kenyan Labor Laws. Excellent organizational, Admin, digital and communication skills are a must
Key Responsibilities:
Digital Administration & Contracts:
- Prepare, issue, and manage appointment and contract letters using approved templates drafted by external counsel.
- Monitor contract expiry dates and initiate timely renewal discussions with Heads of Departments.
- Ensure all employment terms are clearly documented and legally compliant.
Records & Database Management:
- Maintain accurate, up-to-date digital and physical employee files (statutory, contractual, and personal info).
- Ensure records are securely stored and easily accessible.
Compliance & Discipline:
- Implement and regularly review HR policies to align with organizational needs and labor laws.
- Oversee disciplinary cases in strict compliance with Kenyan labor laws; ensure warnings and actions are lawfully issued and documented.
Time & Attendance:
- Manage employee leave schedules and approvals; maintain accurate leave records.
- Review and verify employee overtime in coordination with the Warehouse; ensure logs are accurate and approved.
Employee Lifecycle (Onboarding to Separation):
- Coordinate onboarding to smooth integrate new staff (orientation on policies/roles).
- Manage staff medical insurance (timely onboarding/off boarding from the scheme).
- Handle employee exits, ensuring separation procedures, clearance forms, and legal documentation are completed.
Required Skills & Qualifications:
- Bachelor Degree in Human Resource Management.
- Experience: 2–4 years in an Admin or HR Assistant role. We are open to smart, organized candidates from non-HR backgrounds who are trainable.
- Tech-Savvy (Non-Negotiable): High proficiency in MS Office (Excel/Word). Ability to use AI tools and digital templates for drafting is a significant advantage.
- Administrative Discipline: A natural ability to organize files and follow set processes without deviation.
- Labor Law Knowledge: Ability to look up laws and ensure basic compliance (escalating complex issues to consultants).
