Purpose

Provide administrative and operational support to the Human Resources function. Gain practical exposure across key HR disciplines. Support HR operations, recruitment, learning and development, employee engagement, and HR systems management. Build foundational competencies in Human Resource Management. Participate in structured learning and professional development activities within the HR department.

Responsibilities

HR Records Management and Digitization:

  • Scan, index, and digitize employee records according to company record-keeping standards.
  • Develop and maintain an organized digital filing system for employee records.
  • Reconcile physical and digital employee files with the HRIS.
  • Conduct periodic audits and reconciliations to ensure data accuracy and consistency.
  • Maintain confidentiality and data protection standards when handling employee information.
  • Ensure HR documentation is filed within established timelines.
  • Audit staff files for statutory compliance.
  • Escalate discrepancies and data inconsistencies to the HR Business Partner (HRBP).

HRIS Support and Data Management:

  • Audit employee data within the HR Information System (HRIS).
  • Upload and update employee documentation in the HRIS.
  • Upload and monitor approved Personal Development Plans (PDPs).
  • Generate basic HRIS reports under supervision.
  • Support HR data accuracy and system maintenance.

Learning and Development Records:

  • Create and maintain a centralized Learning and Development database.
  • Track employee educational qualifications.
  • Maintain records of professional certifications.
  • Record training attendance and participation.
  • Track skills development initiatives.
  • Support training coordination activities.
  • Monitor employee development progress.
  • Track training evaluation feedback.

Recruitment Coordination Support:

  • Assist with interview scheduling.
  • Coordinate interview logistics.
  • Support recruitment documentation processes.
  • Maintain recruitment tracking records.
  • Participate in recruitment administration activities under supervision.

Employee Engagement and Wellness Support:

  • Assist in organizing employee engagement activities.
  • Support wellness programs and initiatives.
  • Assist with internal events and activities.
  • Collect participation data and feedback reports.

Onboarding and Employee Support:

  • Support employee induction programs.
  • Support onboarding activities.
  • Assist with internship review reports.
  • Assist with probation review reports.
  • Support employee engagement initiatives.
  • Assist with policy awareness and sensitization activities.

Administrative Support:

  • Support wellness-related operations.
  • Assist with staff uniform data collection.
  • Support uniform distribution processes.
  • Perform additional duties assigned by the line manager.

Requirements

Education:

  • Higher National Diploma in Human Resource Management
