PRIMARY PURPOSE
As an HR Intern, your primary purpose will be to support the Human Resources department in documentation management, digital filing, and drafting of HR correspondence. The role requires a high level of organization, attention to detail, and confidentiality while ensuring employee records are accurate, accessible, and audit-ready.
Detailed Responsibilities
HR Documentation & Filing:
- Ensure all employee files (contracts, statutory documents, personal records) are complete and properly organized
- Maintain and update both physical and digital filing systems in line with company standards
- Digitize employee records and ensure accuracy of electronic HR databases
- Ensure all documentation is filed systematically for ease of retrieval and audit compliance
- Track missing or incomplete documentation and follow up for closure
- Archive and maintain historical employee records securely
HR Letters & Correspondence:
- Assist in drafting HR letters including:
- Employment contracts
- Confirmation letters
- Disciplinary and warning letters
- General employee communication
HR Administrative Support:
- Assist in preparing onboarding documentation for new employees
- Assist with general HR administrative duties as assigned
- Coordinate documentation flow from camps and lodges to ensure completeness of employee files
- Support updating employee records and tracking key HR documentation
HR Information Management:
- Maintain accurate HR data records and ensure consistency across systems and files
- Support document preparation for audits and internal reviews
- Assist in basic HR reporting related to documentation and record tracking
General:
- Maintain strict confidentiality of all employee information
- Support the HR team with ad hoc administrative tasks
- Ensure compliance with company policies and document management standards
CANDIDATE PROFILE
Qualification:
- Bachelor’s degree OR Diploma in Human Resource Management
- Basic understanding of HR processes is an added advantage
- Proficiency in Microsoft Office applications (Word and Excel)
Experience:
- Prior Internship experience is an added advantage
Skills:
- Strong organizational and filing skills
- High attention to detail and accuracy
- Good written communication skills (critical for drafting HR letters)
- High level of confidentiality and professionalism
- Ability to follow structured processes and maintain consistency
- Proactive, reliable, and willing to learn
