The Human Resources Officer will support the Head of Human Resources in executing HR strategies, policies, and operations. The role ensures the smooth coordination of HR functions across the employee lifecycle while fostering a compliant, engaged, and productive workforce. The officer will also work closely with the Factory Manager and team leaders to align HR initiatives with operational goals.
The key roles and responsibilities include:
1. Recruitment & Onboarding
- Assist in drafting job descriptions and advertising vacancies.
- Coordinate shortlisting, interview scheduling, and candidate communication.
- Facilitate onboarding and orientation for new employees.
2. HR Operations & Administration
- Maintain up-to-date employee records (physical and digital).
- Support implementation of HR policies and ensure compliance.
- Track employee attendance and leave, and update related databases.
- Prepare HR reports and key metrics for review by the Head of HR.
3. Payroll Support & Reporting
- Prepare monthly schedules for payroll processing, ensuring accuracy of attendance, overtime, deductions, and benefits.
- Share payroll schedules with the Head of HR and Factory Manager for verification and processing.
- Collaborate with finance to ensure timely salary disbursement.
4. Employee Relations
- Support resolution of employee issues and concerns with professionalism and discretion.
- Assist in organizing staff engagement activities and maintaining team morale in liaison with the Head of Human Resources.
- Take part in disciplinary processes, maintaining records and ensuring due process is followed.
5. Performance Management
- Assist in coordinating performance appraisal processes.
- Track performance improvement plans and maintain relevant records.
6. Learning & Development
- Support identification of training needs and scheduling of development programs.
- Keep records of employee trainings and assist in evaluating outcomes.
7. Compliance & Documentation
- Ensure compliance with Kenyan labor laws, statutory obligations, and company policies.
- Maintain accurate documentation for NSSF, SHIF, PAYE, and other statutory records.
- Ensure all company statutory documents and certifications are renewed in a timely manner to ensure validity throughout.
8. Cross-functional Collaboration
- Work in close liaison with the Factory Manager and respective team leaders to support HR needs at the factory level and ensure alignment with organizational goals.
- Provide HR support during operational planning, staff deployment, and team performance monitoring.
