Role Purpose

Ensures seamless office operations while championing workplace health, safety, and environmental compliance; coordinates administrative functions and maintains a secure, efficient work environment through proactive facility management and HSE standard implementation.

Accountabilities

Office Operations & Administration

  • Facility management and maintenance- Manages the office administration budget and ensure all services are provided in a timely and efficient manner.
  • All Vendor/supplier relationship management - ensure timely issue of POs, confirmation of goods and service delivery and payment to vendors within stipulated procurement guidelines
  • Documentation and record keeping of all defined budget and expenditure for all activities within the administrative scope.
  • Resource and inventory management for the office

Health, Safety & Environment

  • Drives workplace safety, environmental compliance, and sustainable practices through effective policy implementation and monitoring.
  • Manages safety audits, emergency response planning, and environmental initiatives while delivering comprehensive safety training programs.
  • Ensures regulatory compliance, promotes safety awareness, and maintains HSE management systems to protect personnel, assets, and the environment.

Administrative process optimization

  • Support liaison with indirect procurement for all relevant goods and services.
  • Planning and organizing all commercial meetings.
  • Logistics and travel support for all commercial teams.
  • Fleet management – vendor management and maintenance .
  • Compliance reporting
  • Customer communication liaison for all commercial teams,
  • Support of all tendering processes.

Qualifications

KNOWLEDGE, EXPERIENCE & CAPABILITIES

Critical experience and knowledge

  • University Degree in Business Management/Administration or other related field.
  • Minimum 7 years experience in HSE and office administrative roles.
  • Facility management and maintenance- Manages the office administration budget and ensure all services are provided in a timely and efficient manner.
