Purpose of the Role
- The intern will be responsible for supporting the smooth operation of the onsite team by assisting with daily onsite administrative needs and clerical tasks to ensure efficiency in team operations
Qualifications and Requirements
Education:
- Degree or diploma in a business related course or relevant field.
- KCSE Grade B and above is a must
Job Description
- Assist in the coordination of administrative functions, including budget, purchasing, personnel, equipment, meetings, and clerical duties
- Ensure the onsite database is accurate and up to date at all times
- Follow up with HR to ensure that all onsite staff have the necessary PPEs issued to them
- Prepare communications such as memos, emails, reports and other correspondence
- Create and maintain filing systems, both electronic and physical.
- Serve as a liaison between the onsite team and other departments to ensure seamless execution of onsite activities
- Moderate onsite WhatsApp groups and escalate any issues where necessary
- Develop a reliever system for all onsite and ensure the waste room has the necessary personnel at all times
- Ensure all the onsite staff have the necessary tools and equipment such as phones, job cards etc
- Organize for repairs, replacement or maintenance of onsite equipment with the technicians
- Maintain complete stock of all onsite supplies and accuracy of inventory and dispatches
- Liaise with logistics team to ensure waste is collected on time from all sites and report any issues
- Raise payment requests for onsite activities and follow up with accounts and HR to completion.
- Assist with all budget activities, including submissions and following up on payments and expenditures
- Coordinate onsite activities for client events as requested by sales and marketing team
- Follow up on onsite staff or client issues raised to completion
- Assist to ensure the accuracy, completeness, and timeliness of data entry into designated databases or information systems
- Assist to prepare and submit waste data reports for commercial clients as per established timelines
- Assist to prepare and submit waste tracking documents for clients as requested
- Implement corrective measures and validation procedures to improve data accuracy and reliability
- Create and implement an effective onsite sampling schedule in conjunction with onsite data analyst.
- Any other duty that may be assigned.
