About Our Client
Our client, is a dynamic and forward-thinking organization operating within the IT Sector space. They are seeking a highly organized, proactive, and discreet Personal Assistant to provide comprehensive support to their Managing Director. This is a pivotal role that requires a true business partner who can anticipate needs, manage a complex schedule, and act as a trusted gatekeeper in a fast-paced environment.
Key Responsibilities
- Diary & Inbox Management: Proactively manage a complex and ever-changing diary, scheduling internal and external meetings, prioritizing appointments, and resolving conflicts. Manage the MD’s email inbox, drafting responses and flagging urgent matters as appropriate.
- Travel & Logistics: Arrange extensive national and international travel itineraries, including flights, visas, accommodation, ground transportation, and detailed agendas. Anticipate and prepare for all travel-related needs.
- Meeting & Event Coordination: Prepare agendas, collate papers, and take minutes for key meetings, including board meetings and executive leadership sessions. Coordinate internal and external events, off-sites, and client entertainment as required.
- Communication & Liaison: Act as the primary point of contact for the MD’s office, screening calls and correspondence, and liaising confidently with senior stakeholders, board members, clients, and partners on behalf of the MD.
- Project Support: Assist the MD with ad-hoc projects, research, and the preparation of presentations, reports, and briefing documents.
- Expense & Administration: Process expense claims, manage purchase orders, and oversee the administration of the MD’s office, ensuring efficiency and organization.
- Confidentiality: Handle sensitive company and personal information with the utmost discretion and professionalism at all times.
Key Requirements
- Experience: Proven experience as a Personal Assistant, Executive Assistant, or similar role, ideally supporting C-suite or senior-level executives.
- Organizational Excellence: A master of prioritization and time management, with the ability to manage multiple tasks and competing deadlines with precision and a calm demeanor.
- Proactivity & Initiative: A self-starter who can anticipate needs, solve problems independently, and act with a sense of urgency when required.
- Communication Skills: Impeccable written and verbal communication skills, with the ability to interact confidently and diplomatically with stakeholders at all levels.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with virtual meeting platforms (e.g., Teams, Zoom). Experience with [insert any specific tools, e.g., Concur, SAP] is a plus.
- Discretion: A proven track record of handling highly confidential information with integrity and sound judgment.
