The Procurement Manager is responsible for leading and overseeing the hospital’s procurement, supply chain, inventory, and miscellaneous stores functions. The role ensures the timely, cost-effective, compliant, and efficient acquisition, storage, and distribution of medical and non-medical goods and services while maintaining effective supplier relationships, inventory accuracy, and uninterrupted hospital operations.

Responsibilities

Procurement Strategy and Management:

  • Lead and manage procurement and supply chain operations in accordance with hospital policies and applicable regulations.
  • Develop and implement procurement plans aligned with operational and strategic objectives.
  • Oversee sourcing, tendering, supplier evaluation, procurement negotiations, and contract management.
  • Ensure timely procurement of pharmaceuticals, medical consumables, medical equipment, office supplies, and other operational requirements.
  • Monitor procurement expenditures and identify cost-saving opportunities.
  • Improve procurement processes and operational efficiency.

Inventory and Supply Chain Management:

  • Supervise the Supplies Office and Miscellaneous Stores.
  • Ensure proper receipt, storage, issuance, and inventory control of stock items.
  • Monitor stock levels and coordinate replenishment to prevent stock-outs.
  • Establish and maintain inventory management systems and procedures.
  • Conduct stock audits, inventory reconciliations, and periodic inventory reviews.
  • Ensure inventory accuracy, accountability, and compliance.

Supplier and Contract Management:

  • Evaluate supplier performance.
  • Maintain strong relationships with approved vendors.
  • Negotiate supplier contracts and procurement agreements.
  • Ensure supplier compliance with quality and service standards.

Collaboration and Reporting:

  • Collaborate with departmental managers to identify procurement requirements.
  • Ensure timely delivery of procurement services.
  • Prepare procurement, inventory, and supply chain reports for management.
  • Provide procurement performance updates and recommendations.

Leadership and Supervision:

  • Lead and supervise procurement, supplies, and stores personnel.
  • Promote efficiency, accountability, and compliance within the procurement function.
  • Support staff development and performance management.

Requirements

Education:

  • Bachelor's degree in Procurement and Supply Chain Management
  • Bachelor's degree in Logistics
  • Bachelor's degree in Business Administration
  • Bachelor's degree in Commerce
  • Bachelor's degree in a related field
  • Professional qualification such as CIPS
  • Professional qualification such as KISM
  • Professional qualification such as CPSP(K)
  • Equivalent professional procurement certification
  • Membership in a recognized professional procurement body

Experience:

  • Minimum 5 years of experience
  • Minimum 3 years of supervisory experience
  • Experience in Healthcare, Hospital, Regulated industry, Supply Chain, or Logistics is preferred.
  • Required experience includes Procurement management, Supply chain management, Inventory management, Logistics management, Procurement planning, Contract management, Supplier management, and Inventory control.
