Procurement Manager

Job Purpose

The Procurement Manager is responsible for overseeing the hospital’s procurement, supplies, inventory, and miscellaneous stores functions to ensure the timely, cost-effective, and compliant acquisition and distribution of goods, services, and equipment. The role ensures uninterrupted availability of medical and non-medical supplies while maintaining strong supplier relationships, effective inventory control, and efficient supply chain operations.

Key Duties and Responsibilities

  • Lead and manage all procurement and supply chain activities in accordance with hospital policies and applicable regulations.
  • Develop and implement procurement plans to support operational and strategic requirements.
  • Oversee sourcing, tendering, supplier evaluation, contract management, and procurement negotiations.
  • Ensure timely procurement of pharmaceuticals, medical consumables, equipment, office supplies, and other operational requirements.
  • Supervise the Supplies Office and Miscellaneous Stores to ensure proper receipt, storage, issuance, and inventory control of stock items.
  • Monitor stock levels and coordinate replenishment to prevent stock-outs and operational disruptions.
  • Establish and maintain effective inventory management systems and procedures.
  • Conduct regular stock audits, reconciliations, and inventory reviews to ensure accuracy and accountability.
  • Evaluate supplier performance and maintain strong relationships with approved vendors.
  • Monitor procurement expenditures and identify opportunities for cost savings and process improvements.
  • Collaborate with departmental managers to understand procurement needs and ensure timely service delivery.
  • Prepare procurement, inventory, and supply chain reports for management review.
  • Lead and supervise procurement, supplies, and stores personnel to ensure efficiency and accountability.

Requirements

Qualifications and Experience

  • Bachelor’s Degree in Procurement and Supply Chain Management, Logistics, Business Administration, Commerce, or a related field.
  • Professional qualification such as CIPS, KISM, CPSP(K), or equivalent.
  • Membership in a recognized professional procurement body.
  • Minimum of five (5) years’ experience in procurement, supply chain, inventory, or logistics management, with at least three (3) years in a supervisory or managerial role.
  • Experience working in a healthcare institution or similarly regulated environment is preferred.
  • Demonstrated experience in procurement planning, contract management, supplier management, and inventory control.

Required Skills and Competencies

  • Strong procurement, contract management, and supply chain management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office applications and inventory/procurement management systems.
  • Strong negotiation and supplier relationship management skills.
  • Knowledge of inventory management and stock control principles.
  • Strong analytical, planning, and organizational abilities.
  • Ability to manage multiple priorities and meet procurement timelines.
  • Strong leadership and team management skills.
  • High attention to detail and commitment to accountability.
