BACKGROUND

The MEI Project is a collaborative initiative between the University of Nairobi (UoN) and the University of Manitoba (UoM) aimed at strengthening the capacity of the Department of Paediatrics and Child Health at UoN. The project focuses on improving research, education, and clinical services in child health. The Project Administrative Assistant (PAS) will play a crucial role in supporting the smooth and efficient operation of the MEI Project.

RESPONSIBILITIES

The Project Administrative Assistant will be responsible for a range of administrative and logistical tasks, including but not limited to:

  • Providing administrative support to the Project Manager and project team.
  • Managing project documentation, including filing, record-keeping, and correspondence.
  • Coordinating project meetings, workshops, and events, including scheduling, logistics, and minute-taking.
  • Assisting with travel arrangements for project staff and visitors.
  • Managing project supplies and inventory.
  • Liaising with internal and external stakeholders as required.
  • Supporting financial administration, including processing invoices and expense claims.
  • Performing other related duties as assigned by the Project Manager.

QUALIFICATIONS AND REQUIREMENTS

The ideal candidate will possess the following qualifications and skills:

  • A minimum of a Diploma in Business Administration, Secretarial Studies, or a related field.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and accuracy.

EXPERIENCE

At least two (2) years of relevant administrative experience, preferably in a project or academic setting.

ADDITIONAL NOTES

This is a full-time position. The successful candidate will be expected to commence duties as soon as possible.

  • Providing administrative support to the Project Manager and project team.
  • Managing project documentation, including filing, record-keeping, and correspondence.
  • Coordinating project meetings, workshops, and events, including scheduling, logistics, and minute-taking.
  • Assisting with travel arrangements for project staff and visitors.
  • Managing project supplies and inventory.
  • Liaising with internal and external stakeholders as required.
  • Supporting financial administration, including processing invoices and expense claims.
