JOB SUMMARY

The Project Management Support Associate provides essential support in project monitoring, reporting, implementation, and operational logistics. The role ensures adherence to UNOPS policies and procedures while maintaining accurate project documentation and facilitating efficient project coordination.

KEY RESPONSIBILITIES

Project Monitoring and Reporting

  • Support maintenance of Electronic Blue File and upload engagement/project files on oneUNOPS
  • Maintain monthly team work plans, portfolio reports, and stage plans
  • Prepare inputs for project reports and documents
  • Maintain project files and supporting documents on shared drive
  • Enter data in oneUNOPS Project (risk, lessons, and issues management tool)
  • Maintain logs (Configuration Item Records, Risk Log, lessons) and upload to oneUNOPS
  • Compile and consolidate data for portfolio reports and stage plans
  • Take minutes in team meetings and follow up on action points

Project Implementation

  • Ensure adherence to UNOPS Policies, Procedures, and Financial Rules & Regulations
  • Maintain project tracking sheet and alert on project end dates and reporting requirements
  • Monitor and record best practices and innovative approaches
  • Assist in preparing Agreement amendments and Budget revisions
  • Facilitate information flows and support risk register management
  • Support documentation of lessons learned and best practices
  • Assist in project planning process
  • Prepare draft Pro Forma and client Project Agreements
  • Follow up with partners on agreement signing and project closure requirements

Operational and Logistic Support

  • Organize project planning meetings, Project Board meetings, and capacity building trainings
  • Prepare amendments for Project Agreements and budget revisions
  • Develop and maintain oneUNOPS-based management information systems
  • Coordinate with procurement and logistics teams on transport, inventory, and procurement
  • Manage travel plans, bookings, and coordinate travel requirements with Admin Team

Knowledge Management and Innovation

  • Compile lessons learned as per defined reporting format
  • Disseminate and share best practices for planning and knowledge building
  • Support capacity building at every project level
  • Maintain records of project files and activity reports in hard and soft copy

The effective achievement of results ensures efficient administrative services, enhances office capacity to service operational needs, promotes client satisfaction, and strengthens UNOPS' credibility as a partner of choice in sustainable development.

QUALIFICATIONS & REQUIREMENTS

Education

  • Completion of secondary school with 6 years of experience required
  • Professional/Technical Diploma in relevant discipline with 4 years of experience accepted
  • Bachelor’s Degree in relevant discipline with 2 years of experience accepted
  • Master’s Degree in relevant discipline (asset)
  • PRINCE2® Foundation certification (asset)

Experience

  • Minimum 6 years of relevant experience in project management support
  • Experience in monitoring, recording, reporting, and coordination
  • Knowledge of UN rules and procedures in Project Management, Procurement, Finance, HR (advantage)
  • Experience with web-based applications and Google Suite (asset)

Skills & Competencies

  • Strong organizational and coordination skills
  • Excellent reporting and documentation abilities
  • Proficiency in project management tools and systems
  • Ability to work effectively in team environments
