Roles and Responsibilities In more detail, the areas of responsibility include: Assisting the Associate to prepare standard transaction documentation for real estate matters. Assisting in the preparation of completion checklists document for real estate matters. Analyzing transaction documents and confirming that the formalities at each stage of the transaction have been done correctly. Preparing correspondence relating to real estate matters. Maintaining timely and accurate status reports on the transactional progress made on relevant real estate matters. Handling and promptly responding to queries from lawyers on the progress made on transactions. Drafting stamp duty generation guides and other guides related to raising processes. Preparing and issuing lawyer-approved instructions to the registry service providers. Follow up with the independent registry service providers and maintain accurate and timely status reports on the transactional progress of real estate matters. Prepare complete instructions/memos to the independent registry service providers, review the invoices from the independent registry service providers to ensure that they correspond with the approved instructions and purchase orders. Assist the lawyers to undertake any file and account reconciliations on matters. Analysing transaction documents and confirming that the formalities at each stage of the assessment, stamping, filing or registration process have been done correctly. Assist in preparing and filing standard transaction documentation for various legal matters. Conduct online company searches, land searches and other searches utilizing digital registry systems. Maintain accurate and timely status reports on the transactional progress of various legal matters using digital tools. Assisting in the preparation of standard forms for real estate matters in connection with any registry process. Assisting in the preparation of pre and post registration checklists and verifying that registry formalities have been executed correctly. Handle and respond promptly to queries from lawyers regarding transaction progress. Build and maintain effective working relationships with team members and independent registry service providers. Filing of stamped or registered documents in the relevant online document management platforms including Worksite or managing transactional virtual data rooms. Assist in undertaking reconciliations and file closing procedures as may be instructed from time to time. Perform other tasks as deemed appropriate by the firm. The role will be based in Nairobi, Kenya, with travel within and outside East Africa. Experience and Personal Qualities This role will require a detail-oriented, organised, and an efficient person to support the lawyers. The following experience is preferred: Must have a Diploma in law (Paralegal studies) from a recognised institution. A minimum of at least two (2) years of relevant work experience of progressive working. Ability to multitask and work in a fast-paced environment. Must be analytical, detail and result oriented individual. Must have excellent computer skills and proficient in excel and word programmes. Must have the ability to work within strict deadlines and limited supervision. Excellent verbal and written communication skills and the ability to communicate clearly with a range of people from diverse backgrounds. Must have good understanding of the legal profession. Must be very organised and good in time management. The following personal qualities are preferred: Ability to multi-task in a complex and demanding environment. Ability to build and maintain highly effective working relationships with a range of people (both internally and externally). Excellent planning and organisational skills. Ability to learn quickly in a highly dynamic and fast-moving environment. Excellent emotional intelligence, including empathy, awareness and the ability to develop highly collaborative relationships. A skilled influencer and decisive thinker with the courage to raise challenges with credibility and sensitivity. Action-orientated, entrepreneurial and innovative.
