Job Description
We are seeking a vibrant, organised and tech savvy receptionist to be the welcoming face and voice of Pawa IT Solutions. In this onsite role, you will manage front desk operations, deliver a professional and welcoming experience to clients, candidates and external stakeholders and provide administrative support to internal teams.
Responsibilities
Front Desk & Visitor Experience
- First Impression: Greet clients, candidates and external stakeholders in a warm, professional and welcoming manner.
- Call Management: Manage the main phone line, screen incoming calls, answer general inquiries and efficiently route complex queries to the correct departments.
- Visitor Management & Hospitality: Oversee a secure and professional digital visitor sign in process, direct guests to the appropriate meeting rooms, notify internal staff of their arrival and ensure they are comfortable. Support in other hospitality related tasks as applicable.
- Office Aesthetic: Maintain a tidy, organised and welcoming reception area and shared office spaces.
Office Administration & Operations
- Mail & Logistics: Manage all incoming and outgoing mail, courier packages and hardware/peripheral deliveries.
- Office Supplies Support: Monitor office supplies and kitchen stock levels and notify the relevant team when replenishment is required.
- Vendor Support: Assist with basic communication and coordination with office vendors, service providers and building management as required.
- File Management: Maintain organized digital and physical records and support document filing and retrieval as required.
Team & Executive Support
- Meeting Coordination: Manage meeting room bookings and assist with scheduling meetings and appointments as required.
- Administrative Support: Provide administrative support to various departments, including document filing, basic record keeping and interview coordination when required.
- Event Logistics: Assist with the coordination and logistical arrangements for company meetings, staff activities and occasional events.
- Undertake any other duties assigned by management from time to time in support of office operations and business needs.
Requirements
- Education: Diploma in Business Administration, Front Office Management, Communications or a related field (or equivalent professional experience).
- Experience: 1 to 2 years of hands on experience in a Receptionist, Admin Assistant or Office Administrator role. (experience within a tech or fast growing corporate company is a major plus).
- Tech-Savviness: Good working knowledge of Google Workspace (Gmail, Google Docs, Sheets, Forms and Google Calendar) is required. You should be comfortable learning new digital productivity tools quickly.
- Communication: Exceptional verbal and written communication skills, paired with professional telephone etiquette. Fluency in English required as 50% of our clientele is non-Kenyan.
- Organization: Top tier multitasking and time management abilities.
- Discretion: Strong sense of discretion and confidentiality when handling visitor information, mail and internal records.
