20.EXT/KMF/TEMP/20 – Records Management Officer (2 Posts)

a)Job Specifications

The duties and responsibilities of the officer will entail:-

  1. Ensuring security of information, documents, files, records, and office equipment in a registry/archives;
  2. Ensuring mail are received, sorted, opened, and dispatched and related registers are maintained;
  3. Ensuring sorting, classifying, and indexing of documents for filing;
  4. Ensuring storage, updating and maintenance of personnel records and file index;
  5. Ensuring control in opening of open, confidential, and secret files; 
  6. Ensuring custody and Maintenance of Institute’s documents; 
  7. Planning appropriate office accommodation for registries;
  8. Ensuring that file movement records are updated and maintained; and
  9. Ensuring Digitization of the Institute’s documents for circulation and archiving.

b)Person Specifications

For appointment to this grade, an officer must have:

  1. Bachelors Degree in Information Science Management, Records Management or any of the Social Sciences plus a Certificate in Records Management / Information Management or its equivalent qualifications from a recognized Institution;
  2. Kenya Certificate of Secondary Education (KCSE) mean grade C + (C Plus) from the Kenya National Examination Council or equivalent qualification from a recognized institution;
  3. Proficiency in computer applications;

c)Key Competencies and Skills

  1. Organizational skills; 
  2. Strong communication skills; and
  3. Good interpersonal skills.
