Overall Responsibility
The Record Management Assistant will be responsible for timely and accurate processing of documents into the EDMS-ECM software. The role supports document the imaging project at the records management office while ensuring adherence to internal controls, turnaround time (TAT) and statutory compliance.
Key Responsibilities
- Collect retrieved files on daily basis as requested by the users or as assigned by your supervisor.
- Dismantle the files as per the given guidelines.
- Scan and upload the documents to the given folders in the EDMS per section.
- Reassemble the scanned files and feed them into their respective archive’s boxes.
- Label the scanned files clearly with the accurate scan date.
- Review the scanned documents for quality checks within the system.
- Keep an updated inventory within the provided computer.
- Re-shelve the active scanned files.
- Ensure archive files are returned to their respective boxes of origin without mixing with files from different boxes.
- Assisting in preparation of records to archives and in receiving retrieved files from the archives.
Academic and Professional Qualifications required
- Degree in Records Management or a related relevant field.
- One-year experience working in a busy digitization environment.

- Excellent communication and interpersonal skills.
- Proven ability to meet deadlines and work under pressure.
- Keen to details.
- A team player.
