ABOUT THE ROLE

The Registry Officer will manage the Company's records management system, official document registry, and correspondence control to ensure accurate, secure, and accessible records across all departments.

KEY DUTIES & RESPONSIBILITIES

  • Establish and maintain a comprehensive and organised records management system
  • Register, classify, file, and track all incoming and outgoing official correspondence
  • Manage physical and electronic document archives, ensuring easy retrieval
  • Control the movement and custody of files, registers, and official documents
  • Maintain a master registry of all company licences, contracts, and legal documents
  • Ensure confidentiality, security, and integrity of all Company records
  • Implement document retention and disposal schedules in line with legal requirements
  • Train and support staff on proper document management and filing procedures

MINIMUM QUALIFICATIONS & REQUIREMENTS

  • Bachelor's Degree or Diploma in Records Management, Information Science, Library Studies, Business Administration, or a related field
  • Minimum 2 years' experience in records management or registry operations
  • Knowledge of records management principles, document control systems, and archiving
  • Proficiency in MS Office and document management software
  • Highly organised, detail-oriented, and able to maintain strict confidentiality
  • Knowledge of the Kenya National Archives and Documentation Service Act is an advantage
