Responsibilities or duties
Management and implementation:
- Facilitate and coordinate internally in Tdh and with the partners the drafting, review and finalization of the partners agreements, including global coalition budget and individual companies’ contribution and instalment plans.
- Ensure all project activities are implemented on a timely and quality manner in accordance with Tdh program standards and in full compliance with the SSCP and SECO requirements as specified in grant agreement.
- Facilitate the development of joint work plans between the partners and keep tracking of progress towards the implementation of the activities.
- Develop and maintain a detailed plan of activities in collaboration with the local implementing partner in Mexico and reports on a regular basis about the performance of the project.
- Regularly follows up and keeps track of activities and budget expenditures through maintaining the project follow up tool (PFU) and the financial monitoring tool, including the coalition budget, in line with Tdh’s internal processes and ensuring compliance with donor’s rules and regulations.
- Regularly monitor the timely implementation of all activities in the project area based on the M&E framework through maintaining regular contacts with the local implementation partner and through direct monitoring – field visits.
- Regularly monitors and keeps track of project budget expenditure, prepares budget forecasting on a monthly basis and anytime as required by the supervisor and reports periodically to the line supervisor on the financial performance of the project.
- Work closely with Finance Department to monitor burn rates and expenditure trends.
- Support Finance HQ in the follow-up and preparation of the disbursement requests to SSCP and invoicing process of the companies / coalition as per the signed agreements.
- Ensure efficient coordination and communication with the line manager, to timely communicate concerns related to the project’s performance and proposes solutions and adjustments in line with the scope of the projects and the donor’s regulations.
- Support the team in completing the M&E related tasks and forms based on M&E system designed.
- Ensure all the administrative and financial paperwork needed for the management of the initiative is prepared on time and with quality in line with Tdh’s and partners’ standards.
- Ensure the adequate filing and archiving of all initiative documents and keep all grant follow- up tools updated
Internal and External Coordination
- Ensure continuous update and coordination with relevant colleagues within the CRB Team and the Child Protection Sector, Kenya Office and HQ departments.
- In charge of organizing the Initiative Steering Committee meeting, including logistic, agendas, notetaking and documentation and follow up with the SC members.
- Ensure a smooth communication and collaboration with all partners and internal stakeholders at Tdh.
Reporting and Communication
- In charge of coordinating the work with the relevant internal contributors, compiling and submitting the progressive and final narrative and financial reports to the partners and donors.
- Ensure Tdh and local partners reports and data are of high quality and accuracy.
- Review all the financial & programmatic reports from Local Partners and ensure that meet the requirements agreed.
- Regularly compiles project reports as per agreed reporting schedule and the format of reporting, based on M&E system and make sure the deadlines are respected always.
- Support the preparation and review of capitalization documents and evaluation reports when required by the line supervisor.
- Contribute to the internal monthly and annual reporting process.
- Coordinates and follow up with the communication department in HQ for the development of the grant’s communication plan.
- Promote the project activities and events based on communication and visibility standards of Tdh and SSCP/SECO.
- Contribute to the development of publications and other promotional materials in the framework of the project.
- Participate in public events, workshops and training when delegated by the supervisor
Risk and Compliance Management
- Support compliance checks and internal /external audits if/when required.
- Identify and escalate grant-related risks across consortium partners
Other tasks:
- Support the supervisor with other tasks related to the management, coordination, communication and oversight of the project when required.
Qualifications or requirements
Training/Qualifications
- Masters degree / Post-graduate in Project Management, Finance and Administration or any other related area.
- Minimum of 8 years’ experience in grants management within an INGO or consortium setting, including at least 5 years in a senior management role in related activities.
- Demonstrated experience in directly managing consortia, with proven ability to coordinate and sustain effective relationships with diverse partners, including multinational private sector organizations.
Experience
- Management experience in securing and managing funds from institutional donors, such as UN agencies, SDC, ECHO, EU, DFID, USAID.
- Excellent planning skills, and a sound understanding of Program Cycle Management in development or emergency and protracted crises environments
- Strong analytical and financial literacy skills.
- Corporate social sustainability, and agricultural supply chains would be an added advantage
Languages
- Excellent personal communication skills, in written and verbal English, knowledge of French and/or Spanish would be an asset
Other
- Experience with child protection/human rights is an asset.
- Good administrative , skills and attention to details.
- The ability to think strategically in relation to fund- raising and donor engagement
